Magicians and mentalists · CRM

Keep every date enquiry, hold and advance in one place so no booking is double-promised.

A CRM for a magician or mentalist is a simple record of each enquiry, the date held, the quote sent and the advance received. GullySales sets up a sheet or a light tool that a one-person act will actually keep.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

A realistic Indian practitioner performing the specific task in the first content section: {"heading": "Questions settled before configuration", "intro": "", "items": [], "bullets": ["What has to be true for a deal to move from one stage to the next", "Who owns an enquiry that arrives from a listing portal outside office hours", "Whether a dealer buying monthly belongs in the pipeline or somewhere else", "Which few fields the owner reads, and which are kept from habit"]}

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For magicians and mentalists

Where it usually goes wrong, and what we would do.

  • “Enquiries live in four apps”

A date question arrives on Instagram, a call on the phone and a planner's note on WhatsApp. Without one record, a Saturday can be promised twice.

  • “A hold with no end date blocks a real booking”

A date kept open for a parent who never replies turns away the next caller. Every hold needs a day on which it lapses.

  • “The repeat planner is not visible”

A planner who sends a birthday every other weekend looks like a new caller each time. A record by booker shows who the real source of dates is.

  • “No reason is kept for the lost dates”

When a booking falls through, the reason, whether date, rate or distance, is forgotten. The same loss repeats the next season.

What we do

What we deliver for magicians and mentalists.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A date and enquiry sheet

One sheet with a row for each enquiry, its date, venue, booker, show type and status.

Result: All dates sit in one place.

  2. Hold and lapse rules

A written rule on how long a date is held without an advance, and the message sent when a hold lapses.

Result: No date is blocked by silence.

  3. A booker view

A second tab that groups bookings by planner, hall, school and company.

Result: You see which bookers send repeat work.

  4. A payment record

A column set for quote, advance, balance and the date each was received on UPI or bank transfer.

Result: The confirmed list matches the money in.

  5. An outcome note on each closed enquiry

Booked, lost or declined, with a one-line reason.

Result: The reasons are available before the next season.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to record, and when

What to write down for each show enquiry, and when.

Date, venue and hold status
Entered at the first message, with the day the hold lapses. Prevents a second booking for the same Saturday and an open hold that never ends.
Show type and age group
Birthday, reception, school or corporate, with the audience age. Decides the show you quote, and tells you later which kind of booking you win.
Booker, role and how they found you
Parent, planner, hall or school, and the source. Entered at the first reply, so you can count dates by source and see repeat planners.
Quote, advance and balance
The figures you quoted, the advance received and the date. Entered by whoever receives the payment, so the confirmed list matches the account.
Do you need software yet?
Not until a sheet stops being enough: two people updating, enquiries you cannot find or a booker you cannot see. A tidy sheet beats an unused tool.

Who it is for

This is written for these magicians and mentalists.

  • Children's birthday party magicians
  • Stage illusionists for annual days and cultural evenings
  • Close-up and table magicians for weddings and receptions
  • Mentalists for corporate dinners and team events
  • Magicians for school visits and activity weeks
  • Comedy magicians for family shows and housing societies
  • Magic and balloon entertainers for play schools
  • Roaming magicians for malls, launches and exhibitions

Not for

It is not the right fit if.

  • You take only a handful of bookings a season, and a notebook with dates already serves
  • No one has agreed who updates the record, so a new system would be abandoned within a week

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We sit with the people who sell and write down how a deal moves from enquiry to payment, including where it stalls.

  2. 2

    Agree stages, fields and owners

Each stage gets a name your team already uses and a proof that the deal has left it. We agree which fields are required at which stage, and who may change what.

  3. 3

    Build on a copy

Pipeline, fields and views are built on a trial copy where the CRM offers one, or in a separate pipeline where the plan allows. Live work stays untouched.

  4. 4

Connect channels, then switch on automations

Channels are connected first. Each automation is then switched on separately, so a misfiring rule is easy to find.

  5. 5

    Test with real deals

The people who will use the CRM run open deals through it. Gaps are fixed before the whole team switches over.

  6. 6

    Switch over and trim

Once real use shows which fields stay empty and which stages nobody uses, those are cut and the handover record is updated.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Is a spreadsheet enough for one performer?
Yes, until the number of enquiries or the people answering them outgrow it. A sheet with agreed columns is easier to keep than software you stop opening. Move to a tool when two people need the same data at once.
How do I keep WhatsApp chats in the record?
Do not copy the chat. Record the facts the chat produced: date, venue, show, quote and status. The chat stays as the evidence, and the sheet is the list you read each morning.
My assistant forgets to update it. What now?
Make the update part of the reply. If a reply is sent, the row is changed in the same minute. Keep the columns few enough that updating takes less time than writing the message.
Who owns the data if I use a CRM tool?
You do, as long as the account is in your name and you can export the list. Check the export option before you pay for a tool. Keep a copy of the sheet outside the tool, so a closed account does not take your bookers with it.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
