Magicians and mentalists · Follow up systems

Follow up the quote you sent, the date you held and the planner who went quiet.

A follow-up system for a magician or mentalist is a routine for what happens after the first reply: the quote, the held date, the silent parent and the finished show. GullySales writes the messages and the reminders, and you decide the dates.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For magicians and mentalists

Where it usually goes wrong, and what we would do.

  • “A quote sent is not a booking”

A parent receives a rate on WhatsApp and says they will let you know. Without a follow-up, the date stays held and the parent books another act.

  • “A date held for silence blocks others”

A performer who keeps a Saturday free for a parent who has stopped replying loses the next caller. The hold needs a final message and an end.

  • “The finished show is a lead for the next”

A parent whose child enjoyed the party has a sibling, a cousin or a friend with a birthday. A thank-you with a clip and a request for a review reaches them while the memory is fresh.

  • “A planner is a relationship, not a call”

A planner who used you once may use you again if you check in before the season, and drop you if the only message they get is a price.

What we do

What we deliver for magicians and mentalists.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A follow-up map for each situation

Messages for enquiry unanswered, quote sent, date held, show done and planner gone quiet.

Result: Every enquiry has a next step written down.

  2. Saved messages in your voice

WhatsApp templates written the way you speak, with blanks for name, date and venue.

    Result: A follow-up takes a moment, not a rewrite.

  3. A hold-lapse message

A polite final message that releases a date held without an advance, with an open door for later.

Result: The date goes back on offer without an awkward silence.

  4. A thank-you and review message

A message after the show with a short clip, a review link and a note of the next free dates.

Result: Each show can bring a review and a referral.

  5. A planner check-in note

A short note to planners before the birthday and wedding seasons, with new clips and free dates.

Result: Planners hear from you before they build their lists.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for this trade

What to send, and who sends it, at each stage of a booking.

Enquiry not yet answered
You, the same day where you can, on the channel the buyer used. Send a free-date check and one question. Record the enquiry and the time of the reply.
Quote sent, no reply
You, on WhatsApp, with a short note and the date still held. Add one fact the buyer may have missed, such as what the show includes. Record the date of the nudge.
Date held, advance not received
You, with a final message saying the date goes back on offer on a named day. Record the lapse so the sheet shows the date as free.
I will think about it
You, with a thank-you and a clip from a similar party. Ask what is still undecided, and note the answer, whether rate, date or the act.
After the show
You, with a thank-you, a review link and the next free dates. Record whether a review came and who else the host knows with a date coming.
Planner who has gone quiet
You, with a short check-in before the next season, new clips and open dates. Record the reply, and move the planner to a call if they ask about rates.

Who it is for

This is written for these magicians and mentalists.

  • Children's birthday party magicians
  • Stage illusionists for annual days and cultural evenings
  • Close-up and table magicians for weddings and receptions
  • Mentalists for corporate dinners and team events
  • Magicians for school visits and activity weeks
  • Comedy magicians for family shows and housing societies
  • Magic and balloon entertainers for play schools
  • Roaming magicians for malls, launches and exhibitions

Not for

It is not the right fit if.

  • You have no written list of held dates, so a reminder would chase buyers whose status you cannot see
  • You take every date as soon as it is asked, and a follow-up routine would only add messages to enquiries you already confirm

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Will repeated follow-ups annoy a parent?
A message that adds something, such as a free-date reminder or a clip, is welcome. A message that only asks whether they have decided is not. Send no more than two, then release the date politely.
Who sends the follow-ups?
You, or the person who answers your messages, from the business number. A parent expects a reply from the performer's side, so keep one voice. GullySales writes the messages and the reminder list, and the sending stays with you.
What do I do when the answer is no?
Thank the buyer, ask whether a later date or a different show would suit, and record the reason. A no because of rate or distance is a fact you can use in the next quote.
When do I stop following up?
Stop after the hold lapses and the final message has been sent. Keep the contact for the next season's check-in, and do not chase again on the same date. A buyer who wants you will reply to a clear message.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
