Sales consultants · Follow up systems

Follow up after the proposal, the recovery and the introduction, or the work goes quiet.

A follow-up system for a sales consultant is a set of written next steps for each moment that goes silent: after a proposal, after a diagnostic, after an introduction and after a recovery. GullySales drafts the messages and the reminders so that each stage has an owner.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For sales consultants

Where it usually goes wrong, and what we would do.

  • “A good diagnostic call ends in silence”

The sales head says it was helpful and then the quarter-end review absorbs them. Without a dated next step agreed on the call, the enquiry goes cold without anyone deciding it should.

  • “The sale you made is the one you forget”

When numbers recover, the client stops calling. A check-in after the recovery, asking what the team has kept, is when the next piece of work or the next introduction appears.

  • “Advisers need to hear back”

An auditor who suggested you wants to know the client called. A short update, with the client's agreement, keeps that adviser sending work.

  • “A proposal needs a smaller option attached”

A year-long proposal stalls because it cannot be approved at once. A smaller option in the same document gives the sales head something to approve while the larger scope waits for the board.

What we do

What we deliver for sales consultants.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A map of silent moments

A list of the points where an enquiry goes quiet, such as after a first call or a sent scope.

Result: Each point has a named next step and a person responsible.

  2. Message templates for each moment

Short drafts in your voice for the post-call note, the proposal nudge, the thank-you to an adviser and the check-in.

Result: Each message references the specific conversation, not a general greeting.

  3. Reminders in your tool

Dated tasks set at the time of each call, held in the CRM or calendar you already use.

Result: You see on your own screen every conversation that is waiting.

  4. A past-client check-in plan

A list of clients whose numbers recovered, with a reason to write to each and a short review offered.

Result: Each past client receives a message tied to what they achieved.

  5. A proposal with a small option

A scope document with a short first piece and a separate larger option, both priced by you.

Result: The buyer can approve the first piece without approving the whole.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How firm should a follow-up be with a senior buyer?
Brief and specific: refer to the conversation, offer the next step and ask for a date. Pressure suits neither a managing director nor a sales head.
When do we stop following up?
When the buyer says no or the trigger has passed. We write a closing message that leaves the door open and moves the contact to a later check-in.
Can follow-up be automated?
Reminders can be. The message should still read as written by you, so we draft templates that you edit before sending.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
