Flooring contractors · Follow up systems

Chase every measured site with a reason to call, not a bare reminder.

A follow-up system for a flooring contractor is the routine that returns to each customer after a measure and a quotation, with something useful to say. GullySales works on the call reasons, the messages and the list of who owes the next move.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

Flooring companies: show a real physical business scene illustrating Room-wise measurement and quote. Quote room by room from measured areas, with your wastage rule applied as area becomes boxes. Underlay, skirting and laying lines are added to the quotation format at set-up.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For flooring contractors

Where it usually goes wrong, and what we would do.

  • “The quote goes out and silence follows”

After the measure the owner compares two or three rates. The contractor who calls back with an answer to a doubt stays in the running. The one who waits is forgotten.

  • “A reminder with no new information annoys”

Are you ready to go ahead is easy to ignore. A call that offers a sample of the stone, a photograph of a similar floor or a start date is a reason to pick up.

  • “Builders and designers need a different rhythm”

A designer waiting on a client approval will not respond to repeated calls. A note that says the crew has a slot, and asks to be told when the client decides, respects their position.

  • “The lost quote still holds information”

When a customer picks another contractor, the reason is worth writing down. Price, start date, trust and inclusions each point to a different fix.

What we do

What we deliver for flooring contractors.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A follow-up list sorted by owner and date

Every open quote with the name of the person who will call and the date.

Result: Nobody is unsure who calls whom.

  2. Reason-to-call scripts

Short call openers tied to a real piece of help: a sample, a similar floor, a slot, a clarification of inclusions.

Result: Each call has something to offer.

  3. WhatsApp follow-up messages

Short messages that attach a photograph of a comparable finished floor or the inclusions sheet.

Result: The customer receives something worth keeping.

  4. A lost-quote note

A short reason recorded against every quotation that does not convert.

Result: Patterns in lost work become visible.

  5. A past-customer reminder

A note to earlier customers about polishing, resealing or an additional room.

Result: Old customers hear from you with a purpose.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many times should we call after a quote?
Until the customer says yes, no, or asks you to wait. Each call needs a reason. We do not set a fixed number because it depends on the buyer.
Should the estimator or the owner call?
Whoever the customer met at the measure. A familiar voice is answered more readily, and the owner can step in on larger builder quotes.
Is it rude to chase a builder?
Not if you offer something: a slot, a site to visit, a revised rate card for repeated floors. A bare chase is rude; a useful one is service.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
