Modular kitchen companies · Follow up systems

Every 3D design that leaves the showroom should come with a call already booked.

A follow-up system for a kitchen company is the set of calls, messages and site visits that happen after a family takes a design home, each with an owner and a trigger. GullySales builds the sequence around the doubts families raise before signing, not around a reminder to check in.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For modular kitchen companies

Where it usually goes wrong, and what we would do.

  • “The family says they will discuss it at home”

That sentence is the moment the sale is open. What gets discussed is a price gap, a material question or a relative's opinion, and the showroom does not hear it unless someone asks at the door.

  • “A check-in call with nothing new to say fails”

Calling to ask whether they have decided gives the family an easy no. A call that brings a material sheet, a revised layout or an answer to the question raised in the showroom gets picked up.

  • “The competing quote looks cheaper on paper”

An online brand lists a lower total without naming the board grade or hardware. A follow-up that lines up both quotes on the same specification lets the family see what differs.

  • “Silence after the advance is a risk too”

Between the advance and the installation, families worry about delays and changes. A named contact and a short update at each factory stage keeps the order from turning into a complaint.

What we do

What we deliver for modular kitchen companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A follow-up plan per design stage

What is sent or said after the first visit, after the 3D design, after the quote and after a revision, and who does it.

Result: The team knows the next action for each family.

  2. Doubt-answering messages

Short ready messages for the common objections: price gap, material, warranty, delivery slot and Vastu.

Result: Replies are consistent and written in your voice.

  3. A like-for-like specification sheet

One page that sets your quote against a competitor's on board, hardware, finish and warranty.

Result: The family sees why two totals differ.

  4. Post-advance update points

A message at each stage: measurement confirmed, factory started, ready to ship, installation booked.

Result: The family hears from you before they need to ask.

  5. A review of stalled designs

A routine look at designs shared and not closed, with a reason noted for each.

Result: Lost orders produce a reason you can act on.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

The notes and messages that give a shared 3D design a reason to be answered.

The doubt voiced at the door
Written down by the designer before the family leaves. The follow-up answers that exact doubt, whether a price gap, a board grade or a relative's view.
Like-for-like specification sheet
Sent when a family mentions a rival quote. It lists board, hardware and warranty side by side, so the difference shows without a word against the rival.
Revised layout after a requested change
Sent with its new version number after the sink or chimney moves, so the call has something new to say.
Finish sample reminder
Sent when a family chose a finish at the showroom. A photograph of the sample in daylight helps a couple deciding at home with a relative.
Factory stage update
Sent after the advance as board is cut, shutters are finished and fitting is planned. It stops a waiting family turning into a complaint.
Closing note for a silent design
Sent once, with the option to reopen the design later. It gives the family a polite way back and tells the team to stop calling.

Who it is for

This is written for these modular kitchen companies.

  • Modular kitchen showrooms and studios
  • Kitchen and wardrobe manufacturers with their own factory
  • Franchise showrooms of national kitchen brands
  • Imported and premium German or Italian kitchen dealers
  • Kitchen companies working mainly through interior designers
  • Builder-tied kitchen vendors for apartment projects
  • Stainless steel and commercial kitchen fabricators
  • Kitchen renovation specialists for older homes

Not for

It is not the right fit if.

  • No one has authority to revise a design on the spot, so every follow-up would promise a callback and nothing more.
  • You mean to keep ringing a family that has clearly declined, and a system cannot make a refusal welcome.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many times should we call a family after a design?
There is no right count. Call when you have something to add, such as an answer, a revised layout or a slot. Stop when the family says no clearly, and note the reason.
Should follow-up go by call or WhatsApp?
Both, with a purpose for each. A call settles a doubt that needs talking. WhatsApp carries the design, the specification and the quote, which the family can show the in-laws.
What do we do about a family that has gone silent?
Send one useful message, such as a possession-season slot or a revised design, and ask plainly whether they have chosen someone else. A clear answer is better than a name sitting in the list.
Does a family in a new flat get the same follow-up as a renovation?
No. The new-flat family has a possession date and a builder's schedule, while the renovation family worries about days without a stove. Ask each for the constraint at the door, then send the note that answers it instead of one message to both.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.

Your next practical step

Tell us what you are trying to grow, and we will read it before we call.

Eight short steps, mostly taps. Skip anything you would rather answer on the call.
