Optical businesses · WhatsApp marketing

Let a customer choose two frames before walking into the shop.

WhatsApp is where an optical shop books eye tests, sends frame photographs and reminds a customer that a check is due. GullySales sets up the business account and a catalogue of the frames you actually stock, and writes the reminders so they read as care rather than a promotion.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For optical businesses

Where it usually goes wrong, and what we would do.

  • “A frame is chosen by how it looks on a face”

A customer will send a selfie and ask which shape suits them. That belongs in a chat, answered with photographs of stock you can put on their face today.

  • “The recall reminder is the message worth sending”

One note saying a test is due, with the last power on record and an appointment offered. It is welcome, it is personal, and it needs no offer attached.

  • “Lens reorders finish in a chat, not a shopping cart”

A contact lens wearer replies with one word and the same box arrives. Make the reorder a message and the app on their phone stops being easier than you.

What we do

What we deliver for optical businesses.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. WhatsApp Business set up with a catalogue of current stock

Frames listed by style and price band with real photographs, updated as stock changes, on a number the shop owns.

Result: A customer arrives having already picked two to try.

  2. Test booking handled in the chat

A greeting that offers appointment slots, asks who the test is for, and confirms the time without a phone call.

Result: Bookings arrive in the evening while the shop is shut.

  3. Recall reminders sent from the prescription date

A message naming the optometrist and the date of the last test, offering an appointment, sent when the recall falls due.

Result: The customer books rather than drifting to whichever shop is nearest.

  4. Lens reorders confirmed in a single reply

A reminder with the brand, power and box size already filled in, needing only a yes and a choice of collection or delivery.

Result: Reordering from you takes less effort than reordering online.

  5. Consent captured at the counter and honoured

A recorded yes before anyone is added, a simple way to stop, and clinical detail kept out of the chat entirely.

Result: The list is one that people stay on.

  6. Broadcasts limited to the few worth reading

A sunglasses message before summer, a children's check note before the school year, and the individual recall, and nothing else.

Result: Your messages are still being opened next year.

  7. Bookings and reorders read against the baseline

Enquiries received, appointments booked and lens reorders confirmed on WhatsApp, measured against the baseline recorded before work started.

Result: You can see what the channel is worth beside the walk-in.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What an optical shop needs before the first recall reminder goes out.

Consent taken at the eye test desk
Add a tick line to the prescription card: 'Remind me on WhatsApp when my check is due'. Record the number, the date and who asked. Walk-in buyers of readymade reading glasses have not agreed to anything.
Shop number and profile
Register WhatsApp Business on the shop's own number with the address, hours, the optometrist's name and whether eye tests are by appointment. Put the same number on the bill, the lens box and the Google profile.
Catalogue of frames in stock
Photograph frames you hold now against a plain background, with brand, shape and size, and remove sold pieces. A catalogue showing frames you cannot supply sends customers to the shop next door.
The recall template
A reminder you start yourself needs an approved template. Write it as a note from the shop that an eye check is due, with the booking reply. Do not quote the prescription in the message.
Where prescriptions stay
Decide that the prescription is read at the counter and given in print. A prescription photograph on a staff phone can be forwarded, and a child's school group might see it. Check WhatsApp's current business policy and pricing.
Who reads the chat and how to stop
Name the counter staff member who answers and set an away message with shop hours. Each broadcast includes a reply word to stop, and that number is removed at once.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the whatsapp marketing work runs

  1. 1

    Understand current WhatsApp use

We review how customers currently message you and how consistently, if at all, it is answered.

  2. 2

    Audit common questions

We identify the questions that come up repeatedly, which decide what should be automated first.

  3. 3

    Set up automation and templates

An automated first response and quick reply templates are built for the most common needs.

  4. 4

    Connect to the CRM

Conversations are linked to customer records so context carries over between team members.

  5. 5

    Measure and optimise

We track response time and conversion, refining automated responses based on what customers actually ask.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Should we send prescriptions over WhatsApp?
Be careful. A chat is convenient and it is not a secure medical record. Send appointments and frame photographs in the chat, hand the prescription over in person or through your practice software, and take advice on what your own obligations are.
Customers send selfies asking which frame suits them. Should we answer?
Yes, with two or three suggestions from stock and an invitation to come and try them. It is a real service and it gets people through the door. Keep the pictures on the shop's phone and post nothing without asking.
Which customers should we ask for WhatsApp consent, and when?
Ask every customer who has an eye test or buys prescription lenses, at the billing counter, and write it on the card or the billing screen. Do not add people from old registers or phone contacts. Someone who says no is still served normally.
A customer wants to send us a photograph of her old glasses to match the frame. Is that fine?
Yes, as a starting point for choice, but say that lens power and fit are confirmed in the shop. Do not copy the power from a photograph of an old pair. Ask her to bring the glasses or a current prescription.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
