ERP software providers · Email marketing

Keep talking to the distributor who liked the demo and then went quiet.

Email marketing for an ERP provider is how a months-long evaluation stays alive and how the installed base hears about modules and renewals. GullySales writes the summary the accountant can forward, the sequence that runs through the silent months, and the renewal note that reads like a service review.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For ERP software providers

Where it usually goes wrong, and what we would do.

  • “The demo ends and four months of silence begin”

Budget, harvest season, a partner's illness. The deal is not lost, but nobody has written to them since March.

  • “Your buyer forwards, he does not decide alone”

The mail after a demo has to survive being sent to the CA with two lines added on top.

  • “The renewal invoice is the only mail some customers get all year”

That is why it feels like a bill for nothing, and why some of them quietly stay on an old version.

What we do

What we deliver for ERP software providers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A post-demo summary the accountant can forward

One mail listing what was shown, what was asked, what was promised and what happens next, short enough to read on a phone and written to be passed on.

Result: The people who were not in the room get an accurate version.

  2. A sequence built for a six-month evaluation

Mails spread over months carrying the migration explainer, a reference story from their trade and the implementation plan, with a stop rule when they reply.

Result: The silent deal has a reason to answer.

  3. A renewal note that reads as a review

A mail before each support renewal listing what was fixed that year, what the team used most and the modules they have not switched on, sent before the invoice.

Result: Renewal becomes a conversation instead of a surprise.

  4. Module offers based on what the customer actually uses

A short mail to customers whose usage shows a gap, such as a dealer portal or a field sales app, written for their situation rather than sent to the whole list.

Result: Existing customers buy the next thing from you.

  5. One list, built from your own records and kept clean

Demo requests, exhibition and webinar registrations and existing customers in one place, with consent recorded, a working unsubscribe and bounces removed.

Result: Your mails reach inboxes instead of spam folders.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What an ERP provider needs in place before it emails a prospect in a long evaluation.

A consent record for each enquirer
Log where the address came from: a demo form, a webinar sign-up or a referral. Note what they asked for. India's data protection law expects you to use their data for what they agreed to.
A split between evaluators and the installed base
Prospects in an evaluation need comparison notes and case studies. Customers need version notices, module add-ons and renewal terms. Keep two lists, and never send a renewal note to someone still deciding.
Roles tagged for each account
Tag the owner, the accountant, the IT head and the production manager. They read different mails. The accountant forwards a one-page summary of return and effort, and the IT head wants hosting and data migration details.
A forwardable one-page summary
Write the evaluation summary so a person who missed the demo can read it. Cover the process mapped, the modules, the integrations, who runs the implementation and what the customer must provide.
A sender who is a consultant, not a mailbox
Replies should reach the person who ran the demo. A founder who asks about GST e-invoicing or Tally migration wants the answer from someone who understands the plant.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the email marketing work runs

  1. 1

    Understand your list

We review who is on the list, how they got there, and how long it has been since they last heard from you.

  2. 2

    Audit past sends

We check open and click rates from past emails to see what has and has not worked.

  3. 3

    Segment and plan

The list is split into meaningful groups and a sending calendar is agreed.

  4. 4

    Implement content and automation

Emails are written, scheduled and, where useful, set to trigger automatically based on behaviour.

  5. 5

    Measure and optimise

We track performance and adjust subject lines, timing and content based on what the list responds to.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we buy a list of manufacturers and mail them?
It is a poor trade. Bought lists bounce heavily and complaints damage your sending domain, which then hurts the mails your customers need. Build the list from demos, webinars and exhibitions.
How often should we write during a long evaluation?
Once every three or four weeks, and only with something worth reading, such as a reference story or an updated compliance note. Weekly chasing gets the salesperson blocked.
Should a silent prospect get a mail after every demo?
No. Send a summary after the demo, one follow-up with a relevant case study, then one question about whether the timeline has changed. After that, pause. Repeated nudges on an ERP decision read as pressure and delay the choice.
What do we say in the renewal mail to existing customers?
Treat it as a service review. List the modules in use, open requests, version notes and the support terms, then propose a call. Do not open with a price rise. A customer who sees value reads the whole mail.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
