HRMS providers · WhatsApp marketing

Use WhatsApp to book demos and rescue trials, and keep contracts for proper meetings.

WhatsApp marketing for an HRMS provider means using the chat app that HR managers and founders keep open all day to reply to enquiries, confirm demos and nudge stalled trials. GullySales sets up the business account, the replies and the consent rules around it.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For HRMS providers

Where it usually goes wrong, and what we would do.

  • “The first reply sets the tone”

A founder who fills in a form at night expects an answer on the chat app, not a call at an odd hour. A prompt reply that asks the headcount and the main problem makes the provider look organised.

  • “Chat is for the next step, not the whole sale”

Pricing detail, data security and the contract are discussed properly with finance in the room. Use the chat to book that meeting and send the briefing note, and keep long negotiation off it.

  • “Consent and the platform's rules matter”

Sending broadcast messages to people who did not ask for them damages the number and the brand. Collect a clear opt-in, offer an easy way to stop and check the platform's current rules for business messaging.

  • “Customers use it for payroll-day problems”

The HR manager who finds a wrong figure on the twenty-seventh will message your support number. Decide in advance who watches that chat and what a first response should say, because that moment shapes the renewal.

What we do

What we deliver for HRMS providers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A business account and profile

Set-up of the WhatsApp Business profile, catalogue-style product summary, working hours and greeting.

Result: A profile that tells a new contact what you offer.

  2. Quick-reply and template set

Approved wording for first response, demo confirmation, trial check-in and briefing-note delivery.

Result: A library of replies your team can use consistently.

  3. An opt-in and opt-out routine

Wording on forms and demos for permission to message, with a clear way to stop.

Result: Each contact record shows whether they agreed.

  4. A demo-booking flow

Steps from a first chat message to a confirmed demo with finance and the CA invited.

Result: A route from chat to calendar that your team follows.

  5. A support and escalation note

Who answers customer messages, which issues go to the support lead and what is promised in the first reply.

Result: A written rule for payroll-day messages.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand current WhatsApp use

We review how customers currently message you and how consistently, if at all, it is answered.

  2. 2

    Audit common questions

We identify the questions that come up repeatedly, which decide what should be automated first.

  3. 3

    Set up automation and templates

An automated first response and quick reply templates are built for the most common needs.

  4. 4

    Connect to the CRM

Conversations are linked to customer records so context carries over between team members.

  5. 5

    Measure and optimise

We track response time and conversion, refining automated responses based on what customers actually ask.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Should we use the WhatsApp Business API or the app?
The app suits a small team with modest volume. The API suits larger teams that need several agents, templates and links with the CRM. Choose after counting the chats you handle, and check the provider's current terms.
Can we message everyone in our contact list?
Only those who agreed to hear from you. Messaging a bought or old list risks complaints and a blocked number. Build the list through forms, demos and trial sign-ups where consent is clear.
What should never go on WhatsApp?
Employee salary data and sensitive files. Keep payroll data inside the product with proper access control, and use the chat for scheduling, short answers and links to safe pages.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
