Salesforce and CRM implementation partners · Follow up systems

Follow up with something that moves the buyer's thinking forward.

A follow-up system for a CRM partner is the agreed next step after each discovery call, demo, proposal and reference call. GullySales builds it so each touch carries something useful.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For salesforce and CRM implementation partners

Where it usually goes wrong, and what we would do.

  • “Discovery calls end without a next step”

A pleasant call that ends with a promise to share a proposal sits idle. A fixed next date and action keeps momentum.

  • “The proposal goes out and nothing follows”

A sales head reads the proposal when free. A reference offer or an adoption plan sent after a short gap restarts the conversation.

  • “Vendor leads cool while the partner waits”

An account executive passes a lead and expects prompt engagement. A slow reply sends the buyer to the next partner on the list.

  • “Go-live clients hear nothing”

After handover, the client meets the team only when something breaks. A planned review is where extra training, clouds and admin work are discovered.

What we do

What we deliver for salesforce and CRM implementation partners.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A touch plan by stage

Messages after a discovery call, a demo, a proposal and a reference, each carrying a useful item. For each stage, from discovery to demo to proposal to reference call, the plan names the message, the sender and the piece of content that goes with it.

    Result: Every contact adds value.

  2. Next-step rules

A rule that every meeting ends with a dated action in the CRM. Before ending any call, the owner agrees a next step with a date and writes it in the CRM, so no opportunity sits without one.

Result: No deal sits without an owner.

  3. Vendor lead response routine

A set of steps for answering a vendor-referred lead the same working day and updating the account executive. When a platform vendor passes a lead, the routine sets who calls, what is asked first and how the account executive is told what happened.

Result: Vendors see the firm responding.

  4. A post go-live review plan

A schedule of reviews with live clients, covering usage, new needs and support terms. A review is booked at go-live for the period after, to check usage, open issues and the next module, with the owner named.

Result: Expansion work comes from planned contact.

  5. A close-out note for quiet deals

A courteous note that closes a silent proposal and keeps the door open.

Result: The pipeline shows live deals only.

  6. A demo recap note

A buyer who watched three vendors demonstrate in one afternoon remembers the one that sent the recorded walkthrough, the open questions and the configuration notes straight after the demo. The note restates what the buyer asked.

Result: The buyer remembers your demo, not the others.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How should we chase a quiet proposal?
Send something of value, such as a reference or a plan for the first training sessions, instead of a reminder. If silence continues, close the deal politely. Send something new with each chase, such as a short note on a risk in the buyer's timeline or a reference they asked about. A message that only asks for an update gets no reply.
Who should call after go-live?
The project lead, with sales present at the review. A client talks to the person who knows the system. The consultant who led the project, with the account owner copied. Clients trust the person who knows their configuration, and the account owner picks up any new need.
Do we need automation?
Reminders in the CRM help. Messages should be written by a person, because a templated follow-up reads as such.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
