Car detailing studios · Lead management

Follow up the ceramic coating enquiry before the owner books elsewhere.

Lead management for a car detailing studio means tracking every enquiry, from a DM to a walk-in question. This way a higher-value service enquiry like ceramic coating gets a proper follow-up, rather than being forgotten during a busy day. GullySales sets up this tracking and the follow-up routine.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What lead management means

Lead management is keeping every enquiry recorded, assigned and followed up in one place instead of scattered across notebooks, phones and individual memory. GullySales sets up this record so no enquiry is forgotten between the first message and the final decision.

For car detailing studios

Where it usually goes wrong, and what we would do.

  • “High-value enquiries need a different follow-up than a quick wash”

An enquiry about ceramic coating or paint protection film deserves a proper explanation and follow-up call, not the same quick reply given to a routine wash booking.

  • “A quiet enquiry after a quote often just needs a nudge”

A customer who asked about a coating price and went quiet is frequently still deciding, and a short follow-up message recovers a meaningful share of these.

  • “Walk-in enquiries need the same tracking as online ones”

A customer who asks about pricing at the counter but does not book that day should still be logged and followed up, not left to chance.

What we do

What we deliver for car detailing studios.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Separate follow-up track for high-value enquiries

A distinct, more detailed follow-up for a ceramic coating or paint protection film enquiry, compared to a routine wash.

Result: A high-value enquiry gets the explanation it needs.

  2. Quiet enquiry nudge sequence

A short follow-up message for a customer who asked about a coating price and went quiet.

Result: A still-deciding customer gets a nudge instead of being forgotten.

  3. Walk-in enquiry logging

A simple log for a customer who asks about pricing at the counter but does not book that day.

Result: A counter enquiry is followed up, not left to chance.

  4. Shared enquiry stage tracker

One shared record showing every enquiry and its current stage, from first contact to booking.

Result: Staff can see at a glance which enquiries still need a response.

How the result is measured

  • Enquiries recorded
  • Enquiries with no follow-up
  • Time from enquiry to first response

Recorded as a baseline before work starts, so every later report has an honest comparison.

Coating enquiry details to note

Write these six details against every ceramic coating or PPF enquiry before you quote.

Make, model, year and colour
Dark, metallic and matte paint need different handling, and car size changes the work. Note all four, since the quote and the job time both depend on them.
Paint condition from daylight photos
Ask for photos of the bonnet, roof and doors in daylight. Swirl marks, deep scratches or an earlier respray decide how much paint correction is needed before any coating goes on.
Service wanted
Write whether it is ceramic coating, full or partial PPF, interior cleaning or a mix, and what the owner wants from it: shine, easier washing or resale. Customers often say coating when they mean a deep clean.
Is the car new or in use?
A new delivery should be coated before its first wash. An older car needs correction first. Note which it is, and the date the car can be left with you.
Who decides, and who else has quoted
Many car owners check with a spouse or a friend, and compare two studios. Note both, and ask what the other studio included so you can compare the same work.
Next call date and who makes it
Put a date and a name in the log before you end the conversation. An enquiry with no date is one that will be forgotten on a busy Saturday.

Who it is for

This is written for these car detailing studios.

  • Mobile car detailing services
  • Studio-based detailing centres
  • Ceramic coating and PPF specialists
  • Bike detailing and coating studios
  • Fleet and dealership detailing partners
  • Luxury and exotic car detailing specialists
  • Interior deep cleaning specialists
  • Car wash and quick service outlets

Not for

It is not the right fit if.

  • Enquiries arrive on three phones and nobody owns the follow-up, so a tracking sheet would be filled in by one person and ignored by the others.
  • The studio never quotes a coating in writing, so there is nothing for the follow-up to refer to.

How it works

How the lead management work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map every source

We list where enquiries arrive, who receives each, where it is written down today and which platform holds it, and trace a recent sample of leads from first contact onward.

  2. 2

Write the stages and the fields

We agree the stages with your team, the rule for entering and leaving each one, the lost reasons and the few fields every record must carry.

  3. 3

    Connect and test each route

Each source is wired in or given a manual entry route, then tested with a real enquiry to confirm it arrives with the right source and owner.

  4. 4

Switch on the rules and train the team

Overdue and dormant flags go live, and the team practises logging a call, moving a stage and marking a loss, so the record matches what happened.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

What does a small studio need to manage this well?
A simple shared log of enquiries and their stage is enough to start, before investing in dedicated software.
How soon should a quiet enquiry be followed up?
Within two to three days, while the customer is still actively deciding rather than having moved on.
Should we quote a price over WhatsApp from photos alone?
Give a range by car size and package, and say it is subject to an inspection. Photos cannot show how much paint correction is needed. A fixed price that rises on the day sounds like a trick to the customer.
What do we say when a customer says another studio quoted less?
Ask what the other quote included: the number of paint correction stages, the coating brand and layers, curing time and warranty terms. Compare like with like. Do not drop your price until you know the work is the same.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.

Your next practical step
