Banquet halls and event venues · Email marketing

Email is how companies and planners book you, not how families do.

Email marketing for a venue works on the buyers who live in an inbox: HR and admin teams, event managers and wedding planners. GullySales builds that list from enquiries you already have, sends availability lists and annual day proposals at the right point of the year, and leaves families on WhatsApp.

A post room: a wall rack of pigeonholes with sorted letters and strapped bundles, a loaded mail trolley wheeled up in front of it, and on the bench a franking machine with one envelope under the press arm, franked and cleared

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For banquet halls and event venues

Where it usually goes wrong, and what we would do.

  • A family will not read your newsletter

They book a hall once, and they are on WhatsApp the whole time they do it. Email is for the admin manager who needs a proposal on record and an invoice that matches it.

  • Planners want a date list, not a campaign

An event manager holding three weddings wants to know which of next season's dates you still have open. One mail a month with that list beats anything else you could send.

  • Companies buy on their own calendar

Annual day and offsite budgets are settled in particular months and spent before the year closes. A proposal landing in the planning month gets read; the same one in March does not.

What we do

What we deliver for banquet halls and event venues.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A permission-based list built from your own records

Corporate enquiries, planners, past hosts and partner caterers gathered into one list, with the source and the consent noted against each contact.

Result: You mail people who know who you are.

  2. A monthly availability mail for planners

The open dates for the next quarter by hall, with capacity, the hold terms and one person to reply to.

Result: Planners fill your calendar from their own client list.

  3. An annual day and offsite proposal sequence

A first mail with layouts and weekday rates, a follow-up with the AV and catering detail, and a reminder timed to when budgets close.

Result: Company bookings arrive before the hotel gets asked.

  4. A post-function mail to the host

A thank-you a week after the function, the review link, and an offer of the same hall for the next family occasion.

Result: One function turns into the next one in the family.

  5. Reporting on opens, replies and bookings

Which mails were opened, who replied, and which bookings came from them, set against the enquiry baseline recorded before work started.

Result: You can see whether the list is earning its keep.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, then reported every month against it.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first monthly report.

No open-ended retainer. Each step has a point in time and something you receive.

  1. 01 · Day 1

    Free audit call

45 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · Within a few working days

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope and fee come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later month has an honest comparison.

  4. 04 · Month 1

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · Every month

    Report against the baseline

What moved, what did not, and what changes next, in plain words.

  6. 06 · Month 3 to 6

    Renew on the numbers

The term ends and you decide whether to continue from the results. No twelve-month lock.

How the work runs for banquet halls and event venues

  1. 1

    Assess

We look at last year's calendar by date type, how enquiries were recorded, how many became site visits and bookings, and how your listings answer the common questions.

  2. 2

    Answer the five questions upfront

Capacity, plate rates, catering rules, parking and rooms shown on every listing, the website and a one-page WhatsApp sheet.

  3. 3

    Run the site visit properly

A booking for each visit, a named person to host it, a printed menu and price sheet, and a follow-up call booked before the family leaves.

  4. 4

    Fill the calendar gaps

Campaigns for weekdays, off-season months and non-wedding functions, and outreach to companies, event managers and planners.

  5. 5

    Protect the date

A clear hold and advance policy, a waitlist for popular dates, and a record of every enquiry per date so no second family is lost.

Proof

What happened when owners fixed this.

Real clients, the work we did, and the result as it was recorded. Where no number was recorded, none is claimed.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every monthly report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No lock-in, no guarantees we cannot keep

Three to six months at a time. We never promise a ranking or a lead count, because nobody controls those.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Where does the list come from?
From people who have already dealt with you: past corporate clients, planners, caterers, decorators and enquiries that did not book. Ask permission when you take the enquiry and record that you asked. Buying a list of HR addresses wastes money and puts you in spam.
How often should we mail planners?
Once a month in the season and less outside it, and only when you have something they can act on. An availability list gets opened. A festival greeting does not.
Should we put our plate rate on the listing?
A starting per-plate rate and the hall rent for a typical function help families shortlist you. It cuts the calls that were only asking the price, and the families who visit are the ones whose budget fits.
How do we fill weekdays and the off-season?
By selling what fits those days. Corporate trainings, birthdays and small receptions can take a Tuesday as easily as a Sunday. A separate weekday rate and package makes that an easy yes.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
Three to six months at a time. There is no twelve-month lock, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile usually show in weeks, because the enquiries already exist. Ads show in days once follow-up is ready. SEO and content take months. The audit tells you which applies to you.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 45 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the monthly review.
What if we are not happy with the work?
Tell us and the plan changes. Every month is reported against the baseline, so a number that is not moving is visible to both sides. Terms run three to six months at a time, and the refund and cancellation policy sets out the rest.
