Equipment rental companies · Email marketing

Write to the accounts you already have, before the season does.

Email is how a rental yard reaches its credit accounts without waiting for them to ring: the new fleet, the rate sheet, the storm coming, the machine sitting idle. GullySales builds the lists out of your rental system and writes the few emails a builder will actually open.

A post room: a wall rack of pigeonholes with sorted letters and strapped bundles, a loaded mail trolley wheeled up in front of it, and on the bench a franking machine with one envelope under the press arm, franked and cleared

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For equipment rental companies

Where it usually goes wrong, and what we would do.

  • The list you want is in Point of Rental already

Every account, what they rented and when they stopped. Buying a list makes no sense when the warm names are sitting in your own contracts.

  • The email that works arrives before the weather

A generator note in the week a storm is forecast gets read on a phone in a truck. The same note afterwards reaches people who already rented elsewhere.

  • Off-rent and reservation confirmations are not marketing

They are the emails that prevent the billing argument, and they should read like they came from your yard rather than from software.

  • Texting an account brings a different set of rules

Consent, an A2P 10DLC registered number, and a record of who agreed to what. Your attorney decides what your company may send, and we build the consent step into the reservation.

What we do

What we deliver for equipment rental companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Lists built from your rental contracts

Accounts segmented by category rented, last rental date and credit status, refreshed from your system rather than kept in a spreadsheet.

Result: Each email goes to people who rent that machine.

  2. A seasonal readiness note per category

Short emails timed to storm season, the spring start and the first frost, carrying availability and a reservation link.

Result: Accounts book before the week everybody calls.

  3. The win-back series for quiet accounts

A short sequence to accounts at 90 and 180 days that asks what changed rather than announcing a rate.

Result: You find out why they left, and some come back.

  4. Idle fleet offers sent to the right trades

A monthly look at what is sitting, then a note to the accounts and trades most likely to want those machines.

Result: The back row starts earning again.

  5. Transactional emails written like a person

Reservation confirmation, delivery notice and the off-rent confirmation, in your wording, carrying the dates the invoice will be built from.

Result: The paperwork itself prevents disputes.

  6. Consent and unsubscribe handled properly

A record of who agreed to what, working unsubscribe links, and the text consent step built into the reservation, with your attorney confirming what applies to you.

Result: Your marketing does not turn into a legal problem.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, then reported every month against it.

Who it is for

This is written for these equipment rental companies.

  • Independent general tool and equipment rental yards
  • Aerial and earthmoving fleets serving general contractors
  • Specialty rental in pumps, power, climate control or shoring
  • Homeowner and DIY-focused rental counters
  • Event, party and staging rental companies
  • Rental businesses attached to a dealership
  • Multi-branch independents competing with the national chains
  • Yards adding online reservations for the first time

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first monthly report.

No open-ended retainer. Each step has a point in time and something you receive.

  1. 01 · Day 1

    Free audit call

45 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · Within a few working days

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope and fee come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later month has an honest comparison.

  4. 04 · Month 1

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · Every month

    Report against the baseline

What moved, what did not, and what changes next, in plain words.

  6. 06 · Month 3 to 6

    Renew on the numbers

The term ends and you decide whether to continue from the results. No twelve-month lock.

How the work runs for equipment rental companies

  1. 1

    Listen to last month's calls

The free audit call traces how enquiries reached you, how many were reservations, how many were quotes nobody chased, and what your counter does when the phone is busy.

  2. 2

Fix what happens around the counter

Agreed overlap hours, a logged record of every enquiry, written off-rent confirmations and a credit application that gets chased to completion.

  3. 3

    Make the fleet findable

A page for each category, a Google Business Profile built for a same-day renter, and reviews asked for after a delivery that went right.

  4. 4

    Wake the accounts that stopped

The dormant list pulled from your rental system and worked every week, with a note against each name of what they used to rent and why they stopped.

  5. 5

    Report on rentals, not activity

A monthly report on enquiries, reservations, machines delivered and accounts reopened, against the baseline recorded before anything changed.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every monthly report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No lock-in, no guarantees we cannot keep

Three to six months at a time. We never promise a ranking or a lead count, because nobody controls those.

  • Hours that fit your day, agreed up front

Which hours we overlap with yours is settled before any work starts, so you know when a reply is coming and when it is not.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How often should we email our accounts?
Rarely, and with something in it. Four to six a year tied to the season, the fleet and the weather is plenty. A monthly newsletter from a rental yard gets filtered within two sends.
Do homeowners need a separate list?
Yes, because nothing you write to a builder suits them. Weekend rentals, smaller machines and a reminder about the trailer they will need. Keep it short and send it in spring.
Can you answer our phones?
Inside the overlap hours we agree before work starts, yes, and those hours go in writing. The counter, the yard and the after-hours line stay yours. We will not promise a 24-hour desk or a local number, because that is not what we are.
How do we compete with United Rentals and Sunbelt?
Not on fleet size or rate. An independent wins on what a national branch cannot do from a call queue. Knowing the superintendent's name, sending a mechanic on a Saturday, settling an off-rent date without an argument. The work here is making that visible before the first rental, not after.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
Three to six months at a time. There is no twelve-month lock, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile usually show in weeks, because the enquiries already exist. Ads show in days once follow-up is ready. SEO and content take months. The audit tells you which applies to you.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 45 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the monthly review.
What if we are not happy with the work?
Tell us and the plan changes. Every month is reported against the baseline, so a number that is not moving is visible to both sides. Terms run three to six months at a time, and the refund and cancellation policy sets out the rest.
