Microfinance companies · Follow up systems

Make sure a household that said maybe hears from the company again.

A follow-up system for a microfinance company is the routine that brings an officer back to every interested household, group and repeat borrower on the day agreed. GullySales builds the reminders and the record, and your staff make the visit and the call.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

Microfinance institutions: show a real physical business scene illustrating Members, groups and centres. Record each member inside her group and centre, so member dues and the group total are worked from identical entries and never adjusted by hand.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For microfinance companies

Where it usually goes wrong, and what we would do.

  • “Maybe is an answer every officer knows”

A household says come after the harvest or after the festival. If no one records the date, the promise is gone and a rival lender's officer arrives first.

  • “Group formation needs several touches”

One meeting rarely forms a group. The leader needs a second visit, the members need the terms explained again and the family needs reassurance. Each step needs an owner and a date.

  • “Follow-up must never become pressure”

A borrower who is reminded too hard about a loan may take on debt the household cannot carry. The system sets who contacts whom and stops where your lending policy says it must.

What we do

What we deliver for microfinance companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Follow-up dates in the field record

Every interested household or group gets a next-visit date and a named officer.

Result: The branch manager sees what is due and who owns it.

  2. Visit-and-call routine

A simple order of visit, call and message for a lead from first interest to group formed.

Result: Each lead has a known next step.

  3. Repeat-loan conversation list

A list of borrowers whose repayment is on track, prompting an officer conversation after the company's own checks.

Result: Returning borrowers hear about the next loan from the company.

  4. Language message templates

Short reminder messages in the district language, cleared by compliance.

Result: Messages are polite, correct and consistent.

  5. Overdue follow-up review

A review of follow-ups that passed their date, by branch.

Result: Missed promises are visible and discussed.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Does this include collections reminders?
No. Collections stay with your staff and your rules. The system covers enquiries, group formation, repeat-loan conversations and hiring.
What if an officer leaves?
The record stays with the branch. The follow-up dates and notes pass to the new officer, who can continue the conversation with the household instead of beginning again.
Can follow-up be automatic?
Reminders to officers can be. Messages to households should be limited, polite and cleared by your compliance head. A visit by a known person remains the main follow-up.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
