Dermatology clinics · Sales management

Know which WhatsApp enquiry went cold and why before the patient chooses another clinic.

Sales management for a dermatology clinic means tracking every enquiry to a named outcome, whether it arrives as a call, a form or a WhatsApp photo. This shows which treatment enquiries convert and which quietly go cold. GullySales sets up this record and reviews it with you.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What sales management means

Sales management is the ongoing work of reviewing a sales team's pipeline, calls and targets, and stepping in on deals that are stuck. GullySales sets the review rhythm and the reports a sales manager needs to run this without relying on gut feel.

Last updated 8 Nov 2026. Rules for this trade differ by state and professional body, and they change. We describe restrictions in general terms, so check the current position with your own council or adviser before you publish anything.

For dermatology clinics

Where it usually goes wrong, and what we would do.

  • “A record built around WhatsApp, not just calls”

Since most photo enquiries arrive on WhatsApp rather than by phone, the enquiry record needs to capture these conversations directly rather than relying only on a call log.

  • “Cosmetic enquiries need price-objection tracking”

An enquiry for laser hair removal or fillers that goes cold after a price is quoted tells you something different from one that goes cold after no reply at all. The record should distinguish the two.

  • “Multi-sitting treatments need a completion view”

A patient who books one session of a chemical peel course but never returns for the second is a different kind of loss. It needs to be visible separately from a first enquiry that never converted.

What we do

What we deliver for dermatology clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Enquiry record covering WhatsApp, calls and forms

A single record capturing every enquiry, including photo conversations on WhatsApp, not only phone calls logged at the desk.

Result: No enquiry is missed because it arrived on the wrong channel.

  2. Price-objection flag on cosmetic enquiries

A marker in the record distinguishing an enquiry that went cold after a price was quoted from one that never got a reply.

Result: The clinic can tell a pricing issue apart from a service issue.

  3. Completion tracking for multi-sitting treatments

A view showing which patients booked only the first session of a course, such as a chemical peel series, and did not return.

Result: A stalled treatment course shows up instead of hiding inside the month's total.

  4. Regular review of the enquiry record with you

A recurring session going through the record together, agreeing what needs following up before the next review.

Result: Nothing sits unreviewed between sessions.

  5. Written CRM setup for the front desk

A simple system the front desk can use daily to log every enquiry, whatever tool the clinic already has.

Result: The record stays current without relying on memory.

How the result is measured

  • Target achievement
  • Pipeline coverage
  • Stuck deals resolved

Recorded as a baseline before work starts, so every later report has an honest comparison.

What the clinic manager reviews

Read these six things in the WhatsApp and booking record before the doctors' meeting.

Photo enquiries left without a reply
Scroll the clinic WhatsApp for photos of acne, pigmentation or hair fall with no reply from the desk. Reply with a consultation slot and leave any opinion on the photo to the doctor.
Consultations booked by concern
Check that each booking notes the concern, not just skin. A record that says acne scars, melasma or hair loss shows which treatment pages bring patients and which do not.
Laser and peel quotes not booked
List patients quoted for laser hair removal, chemical peels or fillers who did not book. Call to answer the question they had, often sittings needed or downtime, and leave the decision with them.
Second and later sittings missed
Read the course record for patients who had the first sitting of a peel, laser or PRP course and missed the next. Ask the doctor whether to call and what to say about stopping midway.
Consent forms and clinical photos
Check that every procedure patient has a signed consent form and that clinical photos are filed only with consent. A gap here is a risk to the clinic, so fix it before the next procedure day.
Why an enquiry went cold
Mark each lost enquiry as price, no reply, distance or chose another clinic. When no reply leads the list, the problem is at the desk, not the rate card.

Who it is for

This is written for these dermatology clinics.

  • Solo dermatologist clinics
  • Multi-doctor dermatology and cosmetology centres
  • Dermatology hospitals with in-patient procedures
  • Cosmetic and aesthetic dermatology clinics
  • Hair transplant and trichology centres
  • Skin and laser clinics inside malls or commercial complexes
  • Paediatric and family dermatology practices
  • Multi-branch dermatology chains

Not for

It is not the right fit if.

  • The front desk does not yet note the outcome of a photo enquiry, so a meeting would have no record to read
  • The doctors do not agree on who follows up a quoted course, so a review would find no owner for the gaps
  • You want to rank staff by consultations booked, which can push a desk to book patients a doctor would advise otherwise

How it works

How the sales management work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Look at what exists

We ask for the last few weeks of calendars, pipeline records and review notes, and find where the routine breaks.

  2. 2

    Write the routine down

Slots, agendas, attendees and the records each meeting uses are agreed in writing before the first one.

  3. 3

    Clean the pipeline first

Stage definitions are fixed and stale deals removed, so the first review is about real deals.

  4. 4

    Run or coach

We lead the meetings, or sit in while your manager leads and give feedback afterwards.

  5. 5

Deal with problems as they appear

A slipping number is discussed at the next one-on-one with notes, not stored up for an appraisal.

  6. 6

    Hand over

Your manager or owner takes the routine, with the templates and records, and we step back.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Do we need special software for this?
A shared spreadsheet works for a single clinic with modest enquiry volume; a simple CRM helps once you have more than one doctor or branch handling WhatsApp and calls.
How often should we review the numbers?
Monthly in general, since dermatology enquiry patterns tend to move more slowly than seasonal retail, unless a new cosmetic service has just launched.
Should the dermatologist see the enquiry record, or only the manager?
The dermatologist should see the course drop-outs and the clinical questions that came in on WhatsApp, since those need a medical decision. Price and booking gaps can stay with the manager. Keep patient photos out of the review and discuss cases by concern, not by name.
One receptionist answers WhatsApp but never logs the chats. How do I handle it?
Use one clinic number on WhatsApp Business with labels such as new, quoted, booked and lost, so logging is one tap inside the chat. Check the labels with the receptionist at the end of a shift. A blank label is easier to raise than a missing row in a sheet.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
