Dermatology clinics · Sales metrics

See how many photo enquiries actually turned into a booked consultation this month.

Sales metrics for a dermatology clinic measure how enquiries, particularly WhatsApp photo enquiries, move from first contact to a booked and attended consultation. They also show where in that path patients are lost. GullySales reports these numbers treatment by treatment, instead of one figure for the whole clinic.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What sales metrics means

Sales metrics are the specific numbers, such as call volume, conversion rate and average deal size, that show whether a sales team is actually improving. GullySales reports these by enquiry outcome rather than activity, the same enquiry-based reporting used across every engagement.

For dermatology clinics

Where it usually goes wrong, and what we would do.

  • “Photo enquiries need their own conversion rate”

A WhatsApp photo enquiry that converts to a booking behaves differently from a phone call, and tracking the two separately shows which channel actually deserves more attention or spend.

  • “Reply time as a measured number, not a feeling”

Knowing the median and worst-case reply time to a photo enquiry, rather than assuming the front desk is fast, is often the single number that explains a drop in bookings.

  • “Treatment-level conversion, not clinic-wide”

Tracking how many enquiries for laser hair removal became bookings, separately from acne treatment enquiries, shows where the marketing spend or the follow-up process needs attention.

What we do

What we deliver for dermatology clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Conversion rate by enquiry channel

Separate conversion figures for WhatsApp photo enquiries, phone calls and form submissions, reported channel by channel.

Result: The clinic can see which channel is actually worth more attention.

  2. Median and worst-case reply time tracked

A measured figure for how long a photo enquiry waits for a reply, rather than an assumption about the front desk's speed.

Result: A slow reply becomes visible instead of staying a guess.

  3. Treatment-level conversion breakdown

Conversion tracked separately for treatments such as laser hair removal and acne treatment, instead of one clinic-wide figure.

Result: The clinic sees which treatment's enquiries need attention, not just the average.

  4. Report against the recorded baseline

A report on enquiries, reply time and conversion by channel and treatment, measured against the baseline recorded before work started.

Result: Progress is judged against the clinic's own starting point, not a guess.

  5. Simple dashboard shared with the clinic

A shared view of the current numbers that the clinic can check without waiting for the written report.

Result: The owner can look at the numbers whenever they want to.

How the result is measured

  • Conversion rate
  • Average deal size
  • Sales cycle length

Recorded as a baseline before work starts, so every later report has an honest comparison.

Numbers worth tracking

The numbers a skin clinic can work out from its WhatsApp chats and appointment book.

Photo enquiries by concern
Label each WhatsApp chat with the concern in the photo: acne, pigmentation, hair fall, a rash or a mole. Count by label. A concern that brings many photos but few bookings needs a clearer first reply.
Photo enquiries sent after the desk closed
Sort chats by the time the first message arrived and mark those sent after clinic hours. Check when each got a reply and whether it booked. It shows whether evening messages are where patients slip away.
Consultations that led to a procedure plan
From the doctor's notes, count consultations where a peel, laser or other procedure was advised, and how many patients booked the first sitting. A gap points to cost or downtime questions left unanswered.
Sittings completed in a laser or peel package
For each package sold, compare sittings booked with sittings attended. A patient who stops halfway is worth a call from the clinic to ask how the skin is responding, before any talk of a new package.
Reasons patients did not book
When a patient declines after the consultation or the quote, note the reason in a word or two: cost, downtime, distance, a second opinion. Read the list before changing prices or adverts.

Who it is for

This is written for these dermatology clinics.

  • Solo dermatologist clinics
  • Multi-doctor dermatology and cosmetology centres
  • Dermatology hospitals with in-patient procedures
  • Cosmetic and aesthetic dermatology clinics
  • Hair transplant and trichology centres
  • Skin and laser clinics inside malls or commercial complexes
  • Paediatric and family dermatology practices
  • Multi-branch dermatology chains

Not for

It is not the right fit if.

  • Your WhatsApp chats and appointment book are kept on personal phones, so the numbers cannot be counted from one place
  • The desk has no common name for each concern, so the same enquiry would be counted under several labels
  • You want the numbers to prove that one channel is best before enough enquiries have been recorded to show a pattern

How it works

How the sales metrics work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Review current metrics

We open the enquiry register, quotation file or CRM your figures come from and check how each person counts the same number. Different definitions of one word are the usual finding.

  2. 2

    Pick the few that matter

We list the decisions you make in a review and keep only the metrics that inform one. A metric nobody acts on is dropped.

  3. 3

    Write the definitions

Each metric gets a formula, inclusion rules, a source record and a named owner. You sign these off before anything is built.

  4. 4

    Build the scorecard

A simple report is built from those records, with the definition printed beside each figure. We spot-check it against the source records.

  5. 5

    Train the team

We run your first review with you on the scorecard, so the habit of reading it starts with real numbers.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 1, prospecting and lead generation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

What is the one number to watch first?
Reply time on WhatsApp photo enquiries, since a slow reply here loses patients before any other metric even comes into play.
How is this reported to us?
As part of enquiry-based reporting, showing enquiries, replies, bookings and completed treatments by source and by treatment.
Our enquiries are spread across two WhatsApp numbers and the doctor's own phone. How do we count them?
Move new enquiries to one WhatsApp Business number the desk controls, and label each chat by concern and outcome. Patients who message the doctor directly can be passed to that number. Count only from the date the single number starts, rather than mixing it with older guesses about the other phones.
Enquiries rise before the wedding season and fall after it. How do we compare one period with another?
Compare each concern with the same season last year, not with the weeks just before. Bridal skin and laser enquiries follow the wedding calendar, while acne and fungal concerns follow the weather. The share of consultations that became a booked procedure shows how the clinic is doing in any season.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
