Obstetrics and gynaecology clinics · CRM
Record who sent her, or you will never know which physician stopped referring.
A CRM for an obstetrics and gynaecology clinic is an enquiry and referral record rather than a sales list: who enquired, who sent her, the expected delivery date and the visits it generates. It holds health information, so access matters. GullySales sets up the fields, the access rules and the read-out your doctors get.
Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means
A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For obstetrics and gynaecology clinics
Where it usually goes wrong, and what we would do.
“The field that matters most is the referring doctor's name”
Captured at the first visit, it shows which physician sent four patients this year and which one has sent none since March. Left blank, the referral network cannot be managed at all.
“This is not an ordinary contact list”
It holds information about a woman's pregnancy or her fertility treatment. Who may open it, what goes into a free-text note and where it is stored are questions to settle with your own adviser before the system is built.
“The expected delivery date generates the whole calendar”
One date produces the schedule of visits, the scans and the postnatal check. A record holding the date but not the schedule leaves reception working from a diary and a memory.
What we do
What we deliver for obstetrics and gynaecology clinics.
Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.
One enquiry record, whatever the channel
Calls, messages, walk-ins and website forms landing in the same list with the date, the concern in neutral wording and the name of whoever replied.
Result: No enquiry lives only inside somebody's phone.
The referral source captured at the first visit
A required field naming the physician, the scan centre or the patient who sent her, filled at reception rather than reconstructed later from memory.
Result: You can name your strongest referrers and the ones who went quiet.
The antenatal schedule generated from the delivery date
Visits and scans laid out from the expected date, with the next appointment visible against every patient on one screen.
Result: Reception can see who is due without opening a file.
Access rules written down before go-live
Who can open which record, what may be typed into a notes field and what must not be, agreed with your doctors and your own adviser.
Result: Sensitive information is not sitting behind a shared login.
Consent to contact held with the patient record
Whether she agreed to reminders, on which number and whether a message may be sent at all, recorded rather than assumed by whoever is sending.
Result: Nobody messages a patient who did not want messages.
A read-out for the doctors
Enquiries by source, first consultations that became a booked antenatal course, and referrals by physician, reported against the baseline recorded before work started.
Result: The practice is run on numbers instead of impressions.
How the result is measured
- Enquiries logged in the CRM
- Data completeness
- Reports generated from CRM data
Recorded as a baseline before work starts, so every later report has an honest comparison.
What to record, and when
What an obstetrics and gynaecology clinic should record at the front desk, and whether software is needed yet.
- Channel and who answered
- Note whether she called, messaged, walked in or used the website form, and which staff member replied. It shows which channel brings enquiries and whether any message waited with nobody answering.
- The concern in one neutral word
- Use a general word such as antenatal, scan or consultation, never a diagnosis or a description of her situation. Clinical detail belongs in the patient file under your own records rules.
- Referrer from a fixed list
- Offer a drop-down of known doctors and scan centres, plus self and other, so spellings stay the same and a count is possible. A free-text box produces five spellings of one doctor.
- Consultation booked, and kept
- Record whether the first appointment was made and whether she came. A booking that was never kept shows a gap in the follow-up, and the desk should look at it with sensitivity.
- Permission to contact, and how
- Record whether she agreed to calls or messages and which number is safe to use. Appointment reminders are routine. Anything promotional needs her clear consent, so check your own rules.
- Do you need software yet?
- A sheet with restricted sharing can be enough for a single-doctor clinic that already keeps clinical records in its own software. Add a CRM when enquiries arrive on several channels and nobody can say who answered which.

How it works
From your first message to the first report.
No open-ended retainer. Every step gives you something in writing.
First
Your brief
You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.
After the brief
A conversation and a written scope
We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.
Before work starts
Baseline recorded
The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.
After the baseline
The first fix goes live
The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.
As agreed
Report against the baseline
What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.
At renewal
Renew on the numbers
The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.
How the CRM work runs
- 1
Map the sales process
We record how a deal actually moves from enquiry to close in your business today.
- 2
Configure stages and fields
The CRM's pipeline and fields are built to match that process exactly, not a generic template.
- 3
Set up automations
Reminders, assignment rules and follow-up triggers are configured so routine steps happen without manual effort.
- 4
Test with real deals
We run the configuration against actual current deals to catch gaps before the whole team relies on it.
Proof
What happened when owners fixed this.
Real clients, the work we did, and the result as it was recorded. Where no number was recorded, none is claimed.
IVF Solutions
- Situation
- The clinic had next to no presence online. People making one of the most considered decisions of their lives were doing their research somewhere else, and forming a view before the clinic knew they existed.
- What we did
- Social profiles opened
- Educational content on a schedule
- Google Business Profile built out
- A working feedback loop
- Result
- No numbers were recorded for this engagement. The work is described in full in the case study.

Why us
Why owners pick GullySales over an agency.
Marketing and sales, as one job
Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.
The person on the first call does the work
No account managers in between. You are never handed to someone you have not met.
A baseline before anything starts
Your numbers are written down on day one, so every later report compares against something honest.
The fee in writing, split three ways
Our time, your media spend and production on separate lines. You always see what goes to us.
No guarantees we cannot keep
The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.
One office, and we say so
Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.
#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.
Your brief
Tell us what you need, and we will read it before we call.
