Obstetrics and gynaecology clinics · Customer retention

You lose her between the postnatal visit and the second pregnancy.

Retention at an obstetrics and gynaecology clinic is continuity of care: the antenatal course finished, the postnatal visits attended, and the annual gynaecological check that brings her back in the years between pregnancies. GullySales builds the recall list from your record so a patient is not left to remember on her own.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What customer retention means

Customer retention is keeping an existing customer buying again rather than losing them to a competitor after the first purchase, usually cheaper than winning a new customer. GullySales sets a routine of check-ins and renewal reminders aimed at customers before they show signs of leaving.

For obstetrics and gynaecology clinics

Where it usually goes wrong, and what we would do.

  • “The gap comes after the postnatal visits and lasts years”

The pregnancy ends, the baby goes to a paediatrician and the clinic drops out of her life. By the second pregnancy the name she remembers may belong to somebody else.

  • “A discount card is the wrong instrument for medical care”

It runs into the conduct rules on inducing patients and it makes a clinic look like a shop. What keeps a patient is being remembered by name and reached when a check is due.

  • “The recall that works is the annual gynaecological check”

It comes out of the record rather than out of her memory, and it is the one contact in the quiet years that is plainly for her benefit.

What we do

What we deliver for obstetrics and gynaecology clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. An antenatal completion watch

Patients tracked against their own visit schedule, so a course that stops halfway is visible to somebody in the same week it stops.

Result: A patient drifting out of antenatal care gets noticed.

  2. A postnatal and lactation pathway

The visits after delivery set out and offered as a course, rather than left for the patient to think of requesting.

Result: Care continues past the delivery instead of ending at it.

  3. An annual check recall list

Patients due for a gynaecological check pulled from the record, with a neutral reminder she has already consented to receive.

Result: The quiet years between pregnancies stop being silent.

  4. A deliberate handover to the paediatrician

An arrangement with the paediatricians your patients move to, so the clinic stays in the family's picture after the baby arrives.

Result: Your clinic is still a name in that house two years later.

  5. A reason-for-leaving note

A short record of why a patient did not continue, taken where she is willing to say, and read by the doctors rather than filed away.

Result: You learn whether it was the waiting, the cost or the care.

  6. Course completion and return rates reported

How many first consultations became a full antenatal course, and how many patients came back in later years, measured against the baseline.

Result: Continuity of care becomes a number the practice can manage.

How the result is measured

  • Retention rate
  • Repeat purchase rate
  • Customers won back

Recorded as a baseline before work starts, so every later report has an honest comparison.

Work it out from your records

The continuity of care a clinic can see in its own register without tracking anyone's health.

Antenatal patients who finished the schedule
From the booking register, list each woman registered for antenatal care and mark how many visits she kept and whether she delivered under your care. Gaps show where booking, not intention, broke down.
Missed antenatal visits that were rebooked
Count visits marked as missed and note whether a new date was fixed. Patients with no new date are the ones to ring, in the tone you would use at the desk, and a missed visit is a clinical matter.
Women who returned after delivery
For each delivery, check for a postnatal visit entry and for a later visit of any kind. This shows how many women have not been seen since discharge, and whether the handover to the paediatrician happened.
Annual gynaecology check recall
Filter the register for women whose last visit for a routine check was long ago. Send a short, neutral reminder about the check, never about a condition or symptom, and never through a group.
Reasons patients gave for leaving
Add one line in the register when a patient moves elsewhere or stops, recording the stated reason: distance, delivery location, cost, wait. Read the lines together to see patterns, with no names attached.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the customer retention work runs

  1. 1

    Assess current retention

A first read of current retention rate, existing tactics and where they are or are not coordinated.

  2. 2

    Build the strategy

A written plan developed covering priority segments, touchpoints and a measurable target.

  3. 3

    Align existing tactics

Current retention activities mapped against the strategy and adjusted to work together rather than independently.

  4. 4

    Track toward the target

Retention tracked against the goal, with the strategy adjusted as results come in.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we run a package discount for antenatal care?
Packages are common, but a discount used to attract patients is a different thing and the conduct rules treat it as one. Those rules differ between councils and change, so price your packages with your own adviser rather than on marketing logic.
How do we keep in touch without being intrusive?
Contact her for a clinical reason she has consented to: the due check, the vaccination, the postnatal visit. Skip the birthday wishes and the festival greetings. A message with a medical purpose is welcome and one without it is not.
Can we record why a patient left, without chasing her?
Yes. Note the reason only if she volunteers it at the desk or on a form she chooses to fill. Do not telephone someone who stopped coming to ask why, since that can feel like pressure on a private decision.
Is a recall list for annual check-ups allowed?
Writing to your own patients about a routine check is ordinary care, not advertising a procedure. Keep the message short and plain, leave out any treatment claim, and let her opt out. Rules differ by state and body, so check your own council.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
