Physiotherapy clinics · Sales management

Manage the desk against course completion, not just first-visit bookings.

Sales management for a physiotherapy clinic means running the front desk against a regular record of enquiries, first visits booked, and full courses completed. A completed course matters more to outcomes and revenue than a single booked session. GullySales builds that record with your front desk and reads it with you at the report.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What sales management means

Sales management is the ongoing work of reviewing a sales team's pipeline, calls and targets, and stepping in on deals that are stuck. GullySales sets the review rhythm and the reports a sales manager needs to run this without relying on gut feel.

For physiotherapy clinics

Where it usually goes wrong, and what we would do.

  • “First-visit bookings hide the real number that matters”

A clinic booking plenty of first visits can still be underperforming if few patients complete their recommended course.

  • “Referral volume by doctor needs its own tracking”

Knowing which surgeons are sending patients, and how many, shows where to invest relationship-building time.

  • “Missed session follow-up is a manageable number”

Counting how many missed sessions get a rebooking call turns a vague concern into something fixable.

What we do

What we deliver for physiotherapy clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Enquiry to completion tracker

A record following each enquiry from first contact through the first visit to full course completion.

Result: You see the number that matters, not just how many first visits were booked.

  2. Referral volume log by doctor

A tracked view of which surgeons and doctors are sending patients, and how many.

Result: You know exactly where to invest relationship-building time.

  3. Missed-session follow-up count

A simple count of missed sessions and whether each one received a rebooking call.

Result: A vague worry about drop-off becomes a specific, fixable number.

  4. A regular management review

A recurring session reviewing the tracker with you against the numbers that matter.

Result: Issues in the booking-to-completion chain are caught early, not months later.

How the result is measured

  • Target achievement
  • Pipeline coverage
  • Stuck deals resolved

Recorded as a baseline before work starts, so every later report has an honest comparison.

What the clinic manager reviews

Read these six things in the patient register before the team meeting.

Enquiries by condition
Check that each enquiry notes the condition, such as back pain, knee replacement rehab, frozen shoulder, stroke or a sports injury. Without it, the clinic cannot tell which condition pages bring patients.
Assessed, later sessions not booked
List patients assessed whose later sessions are not in the diary. The physio should explain the plan, and the desk should book the next sessions before the patient leaves.
Missed sessions not rebooked
Read the diary for no-shows and cancellations with no new date. Call the same day, and if the patient is stopping, ask why and tell the treating physio.
Home-visit requests by area
Check home-visit enquiries by area and the physio available there. A request with no physio free in that area needs an honest answer and a referral, not silence.
Referring surgeons and progress notes
Read referrals by orthopaedic surgeon and neurologist, and whether a progress note went back. A surgeon whose patients get no update stops sending them, so assign a physio to each.
Why patients stopped
Record whether each patient finished the plan, stopped because they felt better, or left over cost or distance. Read these with the physios before changing packages.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the sales management work runs

  1. 1

    Assess current management practice

We look at what cadence, if any, currently exists and where it breaks down.

  2. 2

    Set the rhythm

The touchpoints are agreed and scheduled in writing before the first review.

  3. 3

    Run or coach the cadence

We either run the reviews and one-on-ones directly, or coach your manager to run them.

  4. 4

    Address performance directly

Issues are raised as they appear, not left until a review period.

  5. 5

    Report to the owner

A summary keeps ownership informed without needing to sit in every review.

Proof

What happened when owners fixed this.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

What should be tracked?
Enquiries, first visits booked, and course completion rate, by condition, reviewed regularly.
Who owns this, the front desk or a therapist?
A senior front desk staff member can hold this role once the tracking is set up.
Should the physiotherapists attend the front desk review?
Yes, for patients who stopped mid-plan and for surgeon referrals. Only the treating physio can say whether stopping was clinically fine or a risk, and what to say on the call. Keep billing and diary gaps for the desk and the manager.
How do I set targets for physios without pushing extra sessions on patients?
Set targets on what is good for the patient and the clinic together: plans explained, missed sessions rebooked and progress notes sent to referrers. Do not target sessions per patient, which invites over-treatment. Read completion with the reasons beside it.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
