Physiotherapy clinics · WhatsApp marketing
Somebody has sent you an MRI report at eleven at night asking if you can help.
A physiotherapy clinic's WhatsApp carries scan reports, photographs of swollen ankles, appointment reminders and home-visit arrangements. It also carries health information, which changes how it has to be run. GullySales sets up the business account, the saved replies and the limits on what you may send.
Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means
WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

Sales and marketing for physiotherapy clinics, the overview.
Last updated 8 Nov 2026. Rules for this trade differ by state and professional body, and they change. We describe restrictions in general terms, so check the current position with your own council or adviser before you publish anything.
For physiotherapy clinics
Where it usually goes wrong, and what we would do.
“Do not give an opinion on a scan over chat”
Somebody sends an MRI report and one line asking whether physiotherapy will help. Answering that from a phone screen is a clinical judgement made without an examination. Reply with a question and a booking, and say plainly that an assessment has to come first.
“Exercise reminders go to one patient, never to a group”
Home exercise instructions are the messages patients actually want. Put two patients in one group and each of them learns something about the other's condition. Every clinical message is one to one, without exception.
“An offer broadcast from a clinic is advertising”
A discount on sessions sent to your patient list is not the same as a hardware shop's Diwali message. Healthcare advertising restrictions apply to it, they differ and they change, so check the current position with your council before anything like that goes out.
What we do
What we deliver for physiotherapy clinics.
Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.
A WhatsApp Business account on the clinic number
One clinic number with the profile, hours, address and services set up, answerable by the desk rather than sitting on a therapist's personal phone.
Result: Patient messages reach the clinic and stay with it.
Saved replies for the enquiry that arrives in pain
Prepared responses covering the next available slot, what an assessment involves and the home-visit option, written without any claim about the outcome.
Result: A patient in pain gets a useful answer at once.
Appointment reminders sent from the clinic number
A reminder the evening before with the time and therapist, and a confirmation for a home visit including the arrival window.
Result: Fewer no-shows in the evening and on home visits.
Home exercise instructions sent one to one
Exercise notes and videos sent to the individual patient after a session, with a rule against group sends of anything clinical.
Result: Patients do the exercises without their condition being shared.
A written rule on what is never answered over chat
A short list for the desk and the therapists: no opinion on a scan, no diagnosis, no dosage or pain medicine advice, no claim about recovery.
Result: The clinic's chat answers stay inside safe ground.
Consent and restraint on any broadcast list
A list limited to patients who agreed to general clinic news, with an opt-out on every message and the content checked against advertising restrictions.
Result: You send little, and what you send is defensible.
How the result is measured
- Messages delivered
- Reply rate
- Enquiries from WhatsApp
Recorded as a baseline before work starts, so every later report has an honest comparison.
What must be in place first
What a physiotherapy clinic puts in place before a patient's health details touch WhatsApp.
Advertising rules for health professionals differ by state and body and change, so check with your own council before sending any promotion.
- A clinic number, not a therapist's own
- Register WhatsApp Business on a number the clinic owns, held at reception, with the clinic's name, address and hours. If patients already message a therapist's personal phone, move them across with a short note.
- Written consent for reminders
- Add a line to the patient form agreeing to appointment and exercise messages on WhatsApp, with a note of what the messages will contain. Record the date. Home-visit families should agree for the person who will actually read the phone.
- Wording that does not name the condition
- Appointment reminders say 'your session at the clinic', not 'slipped disc' or 'knee replacement rehab'. Previews show on lock screens, and family members often share a phone.
- Exercise sheets one to one
- Send a home exercise sheet only to the patient it was written for, as a document or short video with the patient's name on it. Never post exercises to a group, since another patient's condition may need different advice.
- What staff never answer on chat
- Write the rule: no opinion on a scan, no change to a prescribed exercise, no advice on a new pain by message. Offer a call-back or an earlier visit. Check WhatsApp's current business policy and pricing for templates.
- Stop word and an alternate route
- Each list message ends with a way to stop. Keep a phone number on the profile for patients who prefer calls, and honour a stop request as soon as it is received.

Not for
It is not the right fit if.
- Chats run on a personal phone and a therapist's departure would take the history with it.
- You plan to send offers to old contacts or groups of patients, who never agreed to marketing messages.
How it works
How the whatsapp marketing work runs
The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.
- 1
Read the chats you already have
We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.
- 2
Sort the list and the permission
Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.
- 3
Choose the app or the API
One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.
- 4
Write the replies and the plan
The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.
- 5
Connect the record and test
Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.
- 6
Read the unanswered questions
A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

- Result
- No numbers were recorded for this engagement. The work is described in full in the case study.
