Telehealth and online consultation platforms · WhatsApp marketing

Confirm the slot, send the link and remind the patient where she already reads.

WhatsApp marketing for a telehealth platform means using a business number to answer pre-booking questions, confirm slots, send the consultation link and remind patients about follow-ups. It works because patients already use it daily. GullySales sets up the opt-in record, the templates and the handover to a person.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

For telehealth and online consultation platforms

Where it usually goes wrong, and what we would do.

  • “Health messages need a clear opt-in”

A patient agreed to a booking confirmation, not to a stream of health tips, and a message beyond that breaks her trust and the platform's rules.

  • “Reports sent to the wrong chat”

A report or prescription shared over a personal number goes to the wrong person, and the privacy problem is yours.

  • “Reminders are sent by hand”

A staff member types each reminder, misses some, and patients miss their slots.

What we do

What we deliver for telehealth and online consultation platforms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A business profile and a clear first reply

A WhatsApp Business profile with a short welcome that asks the speciality and language, and tells the patient who she is speaking to.

    Result: A first-time patient gets a human-sounding start.

  2. Opt-in record by purpose

A record of what each patient agreed to receive, such as booking messages or follow-up reminders, and when.

Result: Messages match what the patient agreed to.

  3. Templates for booking, reminder and follow-up

Approved wording for confirmation, joining link, reminder before the slot and a follow-up prompt, in each language you serve.

Result: Patients receive the same clear message every time.

  4. A handover to a person

A rule on when a chat passes from a template or bot to a staff member, such as payment trouble or a clinical question that must go to a doctor.

Result: No health question is answered by a template.

  5. A privacy rule for documents

A rule on how reports and prescriptions are shared, through the platform's secure area rather than a personal chat.

Result: Patient documents do not travel on loose chats.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

Set up these six things before a patient receives any message from your platform.

Opt-in record by purpose
Record the patient's name, number, the purpose she agreed to and the date. Keep booking messages separate from anything promotional.
Business profile and welcome message
Fill in the description, hours and catalogue, and write a welcome that asks which speciality and language. Say whether a person or an automatic reply is answering.
Templates for each step
Prepare confirmation, link, reminder and follow-up messages in every language you offer. Check WhatsApp's current business policy and what it charges for them.
Who pays and who answers
Decide who owns the number, who pays any message charge and who answers in each language. A language you advertise needs a person who reads it.
Opt-out and a human reply path
Tell patients how to stop messages. Give them a way to reach a person for a payment or a clinical problem.
Privacy for reports and prescriptions
Share documents through the secure area of your platform, not as loose files in chat, and say so in the welcome message.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the whatsapp marketing work runs

  1. 1

    Understand current WhatsApp use

We review how customers currently message you and how consistently, if at all, it is answered.

  2. 2

    Audit common questions

We identify the questions that come up repeatedly, which decide what should be automated first.

  3. 3

    Set up automation and templates

An automated first response and quick reply templates are built for the most common needs.

  4. 4

    Connect to the CRM

Conversations are linked to customer records so context carries over between team members.

  5. 5

    Measure and optimise

We track response time and conversion, refining automated responses based on what customers actually ask.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we send health tips by broadcast?
Only to people who opted in for that purpose, and with a way to stop. Keep to general information a doctor has approved. Check WhatsApp's current business policy and the rules on health advertising.
Should doctors use their own WhatsApp numbers?
No. Use the platform's business number for anything about a booking, so the record stays with the platform and a doctor's personal chats are not mixed with patients'.
Do we need the API or is the app enough?
The Business app is enough for a small team. The API is for higher volumes, templates sent automatically and a link to your booking system. Check WhatsApp's current pricing before choosing.
Can we run a catalogue of consultations?
Yes, list each consultation type with a description and a booking link. Do not list prices you have not confirmed, and do not describe results.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
