Convention hotels · WhatsApp marketing

Answer planners where they already ask, on WhatsApp, with the details they need.

WhatsApp marketing for a convention hotel means using the chat app planners and admins already use to send hall details, quotes and visit confirmations. GullySales sets up a business number, ready replies and a log so no chat enquiry is lost.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For convention hotels

Where it usually goes wrong, and what we would do.

  • “Planners ask for floor plans on chat”

A planner on the move asks for the hall plan and capacity in a message. A reply with a short, clear pack the same day keeps the hotel on the list, where a reply that says "will email" does not.

  • “Personal phones hide the pipeline”

When enquiries sit in a sales manager's own chats, nobody else sees them and they leave with the person. A business number with shared access keeps the thread with the hotel.

  • “Large files and long messages lose the reader”

A long brochure sent on chat is easy to ignore. A short message, a plan image and a link to the hall page respect the planner's phone and time.

  • “Consent and platform rules apply”

Messaging people who have not asked to hear from you can get the number restricted. Planners should be asked before being added to any list, and the platform's current rules checked.

What we do

What we deliver for convention hotels.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A business number set-up

A WhatsApp Business profile with hotel name, address, hall list and a catalogue of the halls.

Result: The profile shows the hotel and the halls clearly.

  2. Ready replies for common questions

Saved replies for capacity, layout, parking, rooms and quote requests, each with a link or attachment.

Result: The team answers the common questions with the same correct details.

  3. A hall pack for chat

A short set of images and a one-page summary per hall, sized to open on a phone.

Result: A planner receives a pack that opens without a download.

  4. A chat-to-record routine

A rule that every chat enquiry is logged in the sales record with date, headcount and source.

Result: No enquiry exists only in a chat.

  5. Consent wording for updates

A line asking planners whether they wish to receive offers or reminders, and a list of those who said yes.

Result: Only planners who agreed receive broadcast messages.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand current WhatsApp use

We review how customers currently message you and how consistently, if at all, it is answered.

  2. 2

    Audit common questions

We identify the questions that come up repeatedly, which decide what should be automated first.

  3. 3

    Set up automation and templates

An automated first response and quick reply templates are built for the most common needs.

  4. 4

    Connect to the CRM

Conversations are linked to customer records so context carries over between team members.

  5. 5

    Measure and optimise

We track response time and conversion, refining automated responses based on what customers actually ask.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Can we send offers to all our past clients on WhatsApp?
Only to those who agreed to receive them. Ask first, keep the list of those who said yes and honour any request to stop. Check the platform's current rules before you send anything in bulk.
Who should answer the chats?
A named sales coordinator with a backup. The business number should be shared by more than one person so a leave day does not leave a planner waiting for an answer.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.

Tell us what you are trying to grow, and we will read it before we call.

Eight short steps, mostly taps. Skip anything you would rather answer on the call.
