Wellness resorts · Follow up systems

Reply to the guest who is still deciding, in the words they last used.

A follow-up system for a wellness resort is the set of replies, reminders and owners that carries an enquiry from the first message to the booking and back again after the stay. GullySales works on who follows up, with what message and when it is recorded as done.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For wellness resorts

Where it usually goes wrong, and what we would do.

  • “The guest takes days to decide”

A retreat is a stay of several nights and the guest talks to a spouse, a doctor or an employer. A quote sent once, with no gentle return, is read and left.

  • “Follow-up that repeats the brochure is ignored”

A second message that pastes the same details tells the guest nothing new. A reply that answers the question they raised on the call shows that someone listened.

  • “The call and the message live apart”

The coordinator promised to send the sample menu after the call. If the promise is in memory only, the guest waits and cools.

  • “After the stay, the thread goes silent”

A guest who enjoyed the week is ready to hear about the next season or to tell a friend. Silence after check-out wastes the best lead the resort has.

What we do

What we deliver for wellness resorts.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A reply owner for every enquiry

A named person responsible for each enquiry until it is booked or closed.

Result: No enquiry is waiting without a name next to it.

  2. Follow-up messages written to the call

Short messages that pick up the guest's own question and attach the answer.

Result: The second message adds something the guest asked for.

  3. Promises logged during the call

A list of things promised, such as menu, route or payment link, ticked when sent.

Result: Nothing promised on a call is left unsent.

  4. A closing message for undecided guests

A courteous last note that leaves the door open and records the reason given.

Result: The record shows why an enquiry did not book.

  5. A post-stay message and invitation

A thanks, a review request and a note about the next programme, sent only with consent.

Result: Past guests hear from the resort in the resort's voice.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many times should we follow up?
Follow up as many times as the guest's own signals invite, and stop when they ask you to. GullySales sets the steps out, and the guest's replies decide the pace.
Should follow-up go by WhatsApp or by call?
Use the channel the guest chose. A guest who wrote on WhatsApp expects a message; a guest who asked for a call expects a call.
Can we automate the messages?
Some, such as confirmation and directions. Anything that answers a health or diet question should come from a person. Check the platform's current rules on automated messages.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
