Cafes and coffee shops · Sales management

See which bookings and catering enquiries are going cold this week.

Sales management for a cafe means tracking bookings, catering enquiries and corporate orders in one place so nothing is forgotten between a WhatsApp message and a confirmed date. GullySales sets up this tracking and reviews it with you regularly.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What sales management means

Sales management is the ongoing work of reviewing a sales team's pipeline, calls and targets, and stepping in on deals that are stuck. GullySales sets the review rhythm and the reports a sales manager needs to run this without relying on gut feel.

For cafes and coffee shops

Where it usually goes wrong, and what we would do.

  • “A catering enquiry in a personal phone is a lost enquiry”

When bookings and catering requests live across different staff members' phones, nobody can see which ones went cold without a follow-up.

  • “Weekend bookings need visibility days in advance”

Tracking confirmed and pending bookings for the coming weekend lets the cafe chase the pending ones before the slot fills with a walk-in instead.

  • “Corporate accounts deserve their own view”

An office that orders coffee for meetings regularly should be tracked as a repeat account, not treated as a one-off enquiry each time.

What we do

What we deliver for cafes and coffee shops.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Shared booking and enquiry tracker

One record for bookings, catering requests and corporate orders, visible to whoever answers the phone or WhatsApp.

Result: No enquiry is lost because it lived only in one person's phone.

  2. Weekend booking visibility review

A check of confirmed and pending bookings for the coming weekend, flagging which need a follow-up call.

Result: A pending booking gets chased before the slot fills with a walk-in instead.

  3. A separate corporate account list

A view of offices or clients who order regularly, tracked apart from one-off enquiries.

Result: A repeat account gets the attention that keeps it coming back.

  4. A regular tracker review session

A recurring check-in on the tracker, agreed with you, so cold enquiries are caught early.

Result: You see which enquiries are stalling before the customer decides elsewhere.

How the result is measured

  • Target achievement
  • Pipeline coverage
  • Stuck deals resolved

Recorded as a baseline before work starts, so every later report has an honest comparison.

What the cafe manager reviews

Look at these five things in the booking tracker before the weekend rota is set.

Party and group table requests in the DMs
Scroll the Instagram DMs and the cafe WhatsApp for birthday, kitty party and group table requests. Any that are not in the tracker go in now, with a name against each reply.
Weekend bookings not confirmed
List bookings with no advance paid or no headcount confirmed. Call those hosts before Thursday evening and release the table if they do not reply.
Catering and office coffee quotes
Check quotes sent for office meetings, pop-ups and event catering. One with no reply after a few days needs a call, with the menu and per-head rate resent in the same message.
Office accounts that have gone quiet
Read the corporate list for offices that used to order coffee and snacks for meetings. When one stops, call the admin contact and ask whether the order moved to an app, a rival or an in-house pantry.
Why a booking or quote was lost
Write a short reason against every lost enquiry: price, menu, seating, parking or a slow reply from the counter. Read them together before you change the party package.

Who it is for

This is written for these cafes and coffee shops.

  • Independent single-outlet cafes
  • Specialty coffee roasters with a cafe
  • Cafes inside co-working spaces
  • Bakery cafes
  • Cafe chains opening new outlets
  • Cloud kitchen and delivery-only cafes
  • Cafes attached to bookstores or art spaces
  • Late-night and student-area cafes

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the sales management work runs

  1. 1

    Assess current management practice

We look at what cadence, if any, currently exists and where it breaks down.

  2. 2

    Set the rhythm

The touchpoints are agreed and scheduled in writing before the first review.

  3. 3

    Run or coach the cadence

We either run the reviews and one-on-ones directly, or coach your manager to run them.

  4. 4

    Address performance directly

Issues are raised as they appear, not left until a review period.

  5. 5

    Report to the owner

A summary keeps ownership informed without needing to sit in every review.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

What tool does a cafe need for this?
A shared sheet or simple booking tool is enough for most cafes, scaling to a proper system only once there are multiple outlets.
How often should this be reviewed?
Weekly, so pending bookings and catering enquiries do not sit past the point where the customer has already decided elsewhere.
Should the barista or floor staff be part of the review?
Bring whoever answers the cafe phone and WhatsApp during the day, since they know which party enquiries stalled. Keep the kitchen lead for catering quotes only. Do it before opening, standing at the counter, so nobody is pulled off the floor during service.
My staff reply to bookings from their own phones and forget to log them. How do I stop that?
Move bookings to one cafe number on WhatsApp Business and keep that phone at the counter, not in a pocket. A reply from a personal phone then has nowhere to go. Make the tracker the only list the floor staff use to seat a party, so a missing entry shows up on the day.
How soon would we see more customers?
Fixing reply time and the Business Profile shows within weeks. Building enough reviews and photographs to rank for coffee near a busy locality takes a few months.
Do we need to advertise?
Most cafes benefit first from the profile and a faster reply, which cost nothing in media. Ads make sense for a launch or a specific slow window you want filled.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
