Cafes and coffee shops · Reputation management

Answer the slow-service review before it decides tonight's booking.

Reputation management for a cafe means watching reviews on Google and delivery apps and replying to them. A bad recent review about slow service or a wrong order sits right where the next customer is deciding. GullySales sets up the monitoring and drafts the replies.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What reputation management means

Reputation management is watching what is said about your business across Google, social media and review sites, and responding to it before it changes a buyer's mind. GullySales monitors mentions, drafts responses to negative reviews and flags recurring complaints back to your team.

For cafes and coffee shops

Where it usually goes wrong, and what we would do.

  • “The most recent review matters more than the average rating”

A customer reads the last two or three reviews before they look at the star rating, so one unanswered complaint from last week outweighs months of good ones.

  • “Delivery app reviews need the same attention as Google”

A cafe that only watches its Google listing misses complaints piling up on Swiggy or Zomato, where a different set of customers is deciding.

  • “Asking happy regulars for a review closes the gap”

Cafes that only hear from unhappy customers see their rating drift down, since satisfied regulars rarely leave a review unprompted.

What we do

What we deliver for cafes and coffee shops.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Review monitoring across platforms

A routine that checks Google reviews and Swiggy or Zomato ratings so nothing sits unanswered.

Result: A complaint gets a reply before the next customer reads it.

  2. Reply drafts for common complaints

Written responses for slow service, wrong orders and other frequent issues, ready to personalise and post quickly.

Result: Every review gets a calm, timely answer instead of silence.

  3. A timed happy-customer review ask

A simple request sent to a satisfied regular or a table that clearly enjoyed the visit.

Result: The rating reflects the many good visits, not only the complaints.

  4. Reputation report

A summary of new reviews, ratings by platform and reply rate, shared with you regularly.

Result: You know where the rating is heading before it becomes a problem.

How the result is measured

  • Average rating
  • Response time to reviews
  • Negative mentions resolved

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to do with each review

How to answer each kind of review a cafe gets.

Praise for a drink, a dish or the place
Thank them and mention the item they named. Pass the comment to the barista or kitchen and invite them to try the seasonal item on the menu. Keep the reply as short as the review.
A complaint about slow service at the counter
Say what the rush was, such as a full house, and what you changed, such as an extra person at peak. Check staffing for weekend afternoons, which is when these reviews arrive.
A delivery app complaint about a wrong or cold order
Check the order on the app dashboard first. Say you are sorry, say how you pack and how the rider picks it up, and ask them to contact you through the app for a refund. Many of these are rider issues, so log them.
A complaint about noise, laptops or the table policy
Reply with your seating policy, such as work-from-cafe hours, in a friendly line. Put the policy on the table card and the listing so nobody finds out from the staff.
A review about hygiene or food quality
Take it seriously. Check the kitchen log and the date on the ingredients, and say what you found without blaming the customer. If it involves food safety, keep your FSSAI records ready.
A review that looks unfair or comes from a competitor
Check the order record for the name and date. If you cannot trace it, reply politely that you cannot find the order and report it through the platform if it breaks the rules.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the reputation management work runs

  1. 1

    Understand current perception

We start by actually searching your business name and reviewing what a stranger would currently see.

  2. 2

    Audit existing mentions

We catalogue reviews, mentions and search results, flagging anything negative or inaccurate.

  3. 3

    Plan responses

A calm, factual response is prepared for anything that needs one, agreed with you before posting.

  4. 4

    Implement monitoring

Ongoing checks are set up so new mentions are caught promptly rather than discovered by accident.

  5. 5

    Measure and report

Sentiment and response times are reported, with your business name searched again to see what has moved.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Should we reply to every review?
Yes, briefly, since the reply is read by the next customer deciding, not just the person who wrote it.
What about a review that seems unfair?
A calm, specific public reply, offering to sort it out directly, reads better than arguing with the reviewer.
Should a barista reply to reviews or only the owner?
The owner or manager should write the reply, since a rushed reply from a barista can sound defensive. Ask the team to pass on any review they see. Agree a short template for common complaints and keep the signature to a first name.
A regular posted on Instagram instead of Google. Do we reply there?
Yes, in the comments or by message, in a friendly tone. Thank them, address the point, and ask them kindly if they could put the same words on Google, without any offer in return. Check the platform's current rules on asking for reviews.
How soon would we see more customers?
Fixing reply time and the Business Profile shows within weeks. Building enough reviews and photographs to rank for coffee near a busy locality takes a few months.
Do we need to advertise?
Most cafes benefit first from the profile and a faster reply, which cost nothing in media. Ads make sense for a launch or a specific slow window you want filled.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
