Travel agencies and tour operators · Email marketing

Write to last year's travellers before they start asking around again.

Email for a travel agency works on past travellers and corporate desks, the two groups who read at a desk rather than on WhatsApp. GullySales builds the list from your own booking records, writes the season note and the offsite proposal, and keeps consent handled properly.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For travel agencies and tour operators

Where it usually goes wrong, and what we would do.

  • “Your best list is the booking file”

Every family that travelled with you has a next trip and an anniversary. Nobody has written to them since the invoice.

  • “HR teams answer email, families answer WhatsApp”

An offsite enquiry travels through an admin inbox and a forwarded PDF, which is a different job from talking to a bride's mother.

  • “January is when May gets booked”

Write while school dates are being confirmed at home, not in April when the hotels have gone.

What we do

What we deliver for travel agencies and tour operators.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A list built from your booking records

Past travellers pulled out of your files with the trip, the month, the group size and the occasion, sorted into families, seniors, honeymooners and corporate, with consent recorded.

Result: You are writing to people who already paid you once.

  2. The season note sent before people start planning

A short mail in January for the summer, one before the muhurtham months for honeymoons and one when yatra registration opens, each carrying two or three departures and a date to reply by.

Result: Bookings come in before the rush instead of during it.

  3. A corporate offsite proposal an admin can forward

One document with the itinerary, the per-head cost, the hotel, the transport and the payment terms, in a form a finance team accepts without rewriting.

Result: Your proposal gets circulated instead of redone.

  4. An occasion note to past travellers

A short personal mail around the anniversary of their trip or a family occasion you recorded, carrying one suggestion and nothing else.

Result: The family remembers you before a cousin recommends somebody else.

  5. The quote that got no reply, chased in writing

A two-mail sequence after a quote goes unanswered, the first asking whether the dates changed, the second offering a shorter or cheaper version.

Result: Quotes stop dying quietly in an inbox.

  6. Opens, replies and bookings reported

Which mails were opened, which brought replies and which turned into bookings, split by group and set against the baseline.

Result: You learn which list is worth writing to.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What a travel agency needs in place before it emails past travellers and corporate desks.

A list built from booking records
Add each traveller with the trips taken, the group size, the month and the occasion. A note about a second honeymoon or a family reunion only works if you know the first trip.
Consent taken at booking
Add a tick on the booking form that the traveller agrees to receive trip ideas by email. Record the date. A passport scan or an ID given for a visa is not permission for marketing.
Corporate contacts by role
For a company, record who plans offsites: HR, admin or an executive assistant, and who approves the budget. Mail the planner, and copy the approver only if asked.
Itineraries with inclusions and exclusions
Each proposal should state flights, hotels, transfers, meals, entry fees and what is not included. A quote that leaves things out loses to one that does not, and the gap becomes a complaint.
Registration and licence details visible
Show your agency's registration, your IATA or association membership where you have it, and a street address. Travellers check before paying an advance.
A route out and a clean record
A clear unsubscribe line, honoured at once. Keep traveller documents out of marketing systems.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the email marketing work runs

  1. 1

    Understand your list

We review who is on the list, how they got there, and how long it has been since they last heard from you.

  2. 2

    Audit past sends

We check open and click rates from past emails to see what has and has not worked.

  3. 3

    Segment and plan

The list is split into meaningful groups and a sending calendar is agreed.

  4. 4

    Implement content and automation

Emails are written, scheduled and, where useful, set to trigger automatically based on behaviour.

  5. 5

    Measure and optimise

We track performance and adjust subject lines, timing and content based on what the list responds to.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Do travellers read email at all?
Families barely do and corporate desks read nothing else. Use WhatsApp for the family and email for the HR team, the school coordinator and anything with a proposal attached.
How do we build a corporate list?
From the companies your own travellers work at, the offsites you have already quoted for, and the admin teams near your office. A bought list of HR addresses gets marked as spam and takes your domain down with it.
Can we email a traveller's passport details to the hotel?
Share only what the booking needs, through a secure route, and tell the traveller. Passport and ID numbers are personal data. Never put them in a marketing mail, a group mail or a copy line. Delete them from shared inboxes once the booking is done.
What should a quote mail look like for a family?
Put the dates, the route, what is included and what is not, and the total on one page, with the advance and the cancellation terms. Add three photographs and a call time. A family forwards it to relatives, so it must stand alone.
How do we stop people using our itinerary to book on their own?
Send a clear summary first and the detailed hotel-by-hotel plan once the traveller has confirmed interest or paid a small booking amount. Follow up within a day of sending any quote, because the traveller who hears back quickly rarely rebuilds the trip alone.
Should we list our packages on large travel portals?
It can help a tour operator fill group departures, but the portal owns the customer relationship and takes a share. We usually build direct enquiries and repeat business first, then decide on portals for specific departures.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
