GullySales

Travel agencies and tour operators · Reputation management

Answer the review about a hotel you did not own, calmly and in public.

Reputation management for a travel agency is what a family reads about you after a relative gave your name and before they transfer an advance. GullySales sets the review routine at the end of each trip and drafts the reply to a complaint about something that happened on the ground.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What reputation management means

Reputation management is watching what is said about your business across Google, social media and review sites, and responding to it before it changes a buyer's mind. GullySales monitors mentions, drafts responses to negative reviews and flags recurring complaints back to your team.

For travel agencies and tour operators

Where it usually goes wrong, and what we would do.

  • “You get blamed for the hotel's mistake”

The room was small and the review names your agency, because you are who they paid.

  • “The last day of the trip is the only moment”

Ask on the bus to the airport, while it is still a good memory. A week later they are back at work.

  • “An advance payment makes people nervous”

A first-time traveller is sending money to a stranger, so what a search of your name turns up is most of the decision.

What we do

What we deliver for travel agencies and tour operators.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A review ask built into the last day

The tour manager asks on the final transfer with the link ready and a note of who agreed, rather than a message sent a week after everyone got home.

Result: Reviews arrive while the trip still feels good.

  2. Replies drafted for the complaints you know are coming

Wording ready for a disappointing hotel room, a late vehicle, a cancelled sightseeing stop and a refund argument, written to state what was fixed on the ground.

Result: The reply is ready to post, in your words.

  3. Alerts on the agency name and the owner's name

Notifications for Google, Facebook, the travel listing sites and the common misspellings, so a post reaches you when it is posted.

Result: You find out before the next family does.

  4. Trust signals put where a nervous traveller looks

Ministry of Tourism recognition, IATA accreditation, years in business and the office address placed on the site and in the quote, where you hold them.

Result: A first-time traveller can see whom they are paying.

  5. A record of what went wrong on each trip

A short note after every departure naming the hotel, vehicle or guide that caused a complaint, kept so the same supplier is not booked again.

Result: The complaint stops repeating itself next season.

  6. Reviews counted in the report

New reviews, the rating, which trips produced them and how quickly each was answered, read against the baseline.

Result: You see whether your good trips are being written about.

How the result is measured

  • Average rating
  • Response time to reviews
  • Negative mentions resolved

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to do with each review

How to answer each kind of review a travel agency gets.

Praise after a trip
Thank the family and name the destination, not the people. Ask whether they will share a photograph with their permission. Do not offer a discount on the next trip for a review.
Hotel or transfer failed on the ground
Apologise and say what you raised with the supplier. Check that every trip has a backup number, and that the tour manager photographs the problem and tells you at once, not after the trip.
Visa refused
Say that the decision belongs to the embassy and not to the agency, and that you help with documents. Check that your document checklist was given in writing and the traveller signed that it was received.
Flight changed or cancelled by the airline
Explain, in general words, that the refund route runs through the airline. Check what the airline told you and when, and call the traveller with it before you reply publicly.
Extra charges, GST or TCS
Reply with the itemised quote. Check that every quote shows the tax lines, the cancellation terms and what is not included, and that the traveller's reply to the quote is saved.
Co-traveller or tour manager behaviour
Reply in general words and say you have spoken to the manager. Hear his side first. Check that the group briefing sets out rules for the tour manager and for the guests.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the reputation management work runs

  1. 1

    Understand current perception

We start by actually searching your business name and reviewing what a stranger would currently see.

  2. 2

    Audit existing mentions

We catalogue reviews, mentions and search results, flagging anything negative or inaccurate.

  3. 3

    Plan responses

A calm, factual response is prepared for anything that needs one, agreed with you before posting.

  4. 4

    Implement monitoring

Ongoing checks are set up so new mentions are caught promptly rather than discovered by accident.

  5. 5

    Measure and report

Sentiment and response times are reported, with your business name searched again to see what has moved.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

A traveller is posting about a refund we cannot give. What now?
Reply once, in public, stating what the booking terms said and what you have offered. Then move it to a call. Arguing in the thread is read by every family shortlisting you.
How many reviews do we need?
Enough recent ones that a family can see you are still operating. Twenty reviews from this year beats two hundred from 2019, so the routine matters more than the total.
Should we name the hotel in a reply when a traveller says it was poor?
Do not name it. Say you have taken the matter up with the supplier and will call. Name the hotel only in your own records. If the same hotel appears in complaints more than once, remove it from your packages.
A traveller says nobody told them the cancellation terms. How do we reply?
Offer to go through the written terms by call. Check whether the terms were on the quote and whether the traveller replied to it. If they were only said on the phone, change the process so they are always in writing.
How do we stop people using our itinerary to book on their own?
Send a clear summary first and the detailed hotel-by-hotel plan once the traveller has confirmed interest or paid a small booking amount. Follow up within a day of sending any quote, because the traveller who hears back quickly rarely rebuilds the trip alone.
Should we list our packages on large travel portals?
It can help a tour operator fill group departures, but the portal owns the customer relationship and takes a share. We usually build direct enquiries and repeat business first, then decide on portals for specific departures.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
