Work it out from your records
Your contract book and job cards show which AMCs are due, which lapsed and which units are overdue.
- AMC end dates in order
- Sort every maintenance contract by end date and mark each as renewed, called, not yet called or lapsed. Start the calls well ahead of the date, not in the week the contract ends.
- Last season's contracts: renewed, lapsed, cancelled
- For contracts that ended last season count how many renewed, how many simply lapsed and how many were cancelled. Lapsed is the group to reach, since nobody refused them.
- Installations with no AMC offered
- List units you installed and note whether an AMC was offered at handover. Those without are customers whose first service call may well go to someone else.
- Units by make and last service
- Group units by make and capacity and record the last service date. A cassette unit and a split AC need different checks, so keep the lists apart before the pre-summer reminder.
- Repeat callbacks for the same fault
- Search job cards for the same unit coming back with the same fault. A callback rate on one technician or one make is more useful than a score on a review site.
- Customers by building or locality
- Group customers by apartment tower or locality. A cluster of past customers in one building is where a single visit or a neighbour's word can bring in several more.
