HVAC companies · Analytics and reporting

Know which locality and season actually bring in your business, not a guess.

Analytics and reporting for an HVAC company means tracking which enquiries came from search, referral or advertising, and when. This lets you plan spend and staffing around the real seasonal pattern rather than a guess. GullySales sets this up and reports it on an enquiry basis.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What analytics and reporting means

Analytics and reporting is tracking where each enquiry actually came from, be it a search, an advert or a walk-in, instead of guessing which channel is working. GullySales builds this tracking from the free audit and sends a plain report by enquiry source rather than by activity done.

For HVAC companies

Where it usually goes wrong, and what we would do.

  • “Seasonal patterns need month-by-month tracking, not an annual average”

An HVAC business that looks steady on a yearly report is often extremely lopsided month to month. Only tracking by month shows when to staff up and when to hold spend.

  • “AMC renewal data is a forecasting tool”

Knowing how many contracts are due for renewal in the next quarter lets you plan technician capacity and cash flow ahead of time instead of reacting.

  • “Source tracking settles the SEO versus ads question”

Comparing enquiries from search against enquiries from paid advertising over a full season shows which is actually earning its cost for your specific service area.

What we do

What we deliver for HVAC companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Month-by-month enquiry tracking

A record of enquiries by month rather than an annual average, showing the real seasonal pattern.

Result: You know exactly when to staff up and when to hold spend.

  2. AMC renewal forecast

A record of contracts due for renewal in the coming months, used to plan technician capacity and cash flow.

Result: Renewals are planned for instead of reacted to.

  3. Source-by-channel enquiry report

A report separating enquiries from search, referral and advertising over a full season.

Result: You can see which channel is actually earning its cost.

  4. Locality-level performance tracking

A breakdown of enquiries by service area, showing where demand is strongest.

Result: Spend and attention go to the localities actually responding.

  5. Enquiry and reply-time report

A plain-language report of enquiries, sources and reply time.

Result: You can see the pattern behind the business, not just the busiest stretch.

How the result is measured

  • Enquiries by source
  • Cost per enquiry by channel
  • Conversion rate by channel

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to log for each job

A single job register, kept through one hot season, shows where the phone really rings from.

Enquiry date and locality
Record the date and the area or pin code of every enquiry, including the ones you cannot take. Demand outside your service area is still worth knowing.
Type of job
Choose from split installation, VRF or VRV, chiller work, breakdown, gas refill or AMC renewal. Mixed jobs in one column hide where the money and the effort sit.
Source
Mark whether the call came from search, a referral, a builder or consultant, IndiaMART, a repeat customer or a society notice board. Ask the caller, as the phone alone will not tell you.
AMC register
Keep contract start, end, units covered, renewal due date and whether it renewed or lapsed. This is your forecast of technician work for the coming months.
Quote result and reason
Log quote date, amount, won or lost, and the reason when lost: price, timing, brand preference or no response. Reasons repeat quickly once written down.
Technician and visit day
Note which technician went on which day. In the first hot weeks this shows whether the team or the phone line is the bottleneck.

Who it is for

This is written for these HVAC companies.

  • Residential split AC installers
  • Commercial VRF and VRV contractors
  • Chiller plant and industrial cooling specialists
  • Cold storage and refrigeration contractors
  • Hospital and healthcare HVAC contractors
  • AMC-focused service companies

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for HVAC companies

  1. 1

    Assess

We look at how you show up in local search before summer and your reply time on calls and WhatsApp. We also count how many AMC customers are due for renewal.

  2. 2

Fix the profile and the reply

Google Business Profile completed with service areas and response time, and a routine so a summer breakdown call is answered the same day.

  3. 3

    Build the AMC renewal system

Reminders sent to every customer before their contract lapses, so a renewal is not left to chance or a forgotten calendar entry.

  4. 4

Bring enquiries in ahead of season

Local search and advertising timed to start before the summer rush, not once it has already begun.

  5. 5

    Win the commercial tender

Proposal and case-study material for office, mall and hospital tenders, built around energy efficiency and response time.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

What do we actually get as the work goes on?
A report of enquiries by source, service type and locality, in plain language, not a dashboard full of numbers nobody has time to read.
Can this predict next summer's demand?
It shows last year's pattern clearly enough to plan staffing and spend, though we do not promise a specific number of enquiries.
What if we did not record last year, how do we compare?
Rebuild it from invoices, AMC files and the call log: date, locality and job type are usually on the invoice. It will be rough, so mark those rows as reconstructed and start recording properly now. A rough record of last season beats none.
Should AMC renewals be counted with new enquiries?
Keep them apart. Renewals show how well existing contracts are held, by contract type and locality. New enquiries show whether visibility is working. Added together, a good renewal season can hide a fall in new work, or the other way round.
How soon before summer should we start?
As early in the year as you can, since search visibility and AMC reminders both take time to build before the rush arrives. In most of India that means January, so AMC reminders have gone out and the profile is current before the first hot week.
Do we need to advertise?
Most HVAC businesses benefit first from a faster reply and a complete Google Business Profile, which cost nothing in media. Advertising helps during the short pre-summer window when demand peaks.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
