E-commerce fulfilment companies · CRM

Keep every seller enquiry, rate quote and trial transfer in one record.

A CRM for a fulfilment company is the shared record of each seller from first enquiry through quote, trial transfer and contract, with the order volume and SKU details beside it. GullySales works on setting up the stages, fields and rules so your sales people stop keeping seller details in chats and personal sheets.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For E-commerce fulfilment companies

Where it usually goes wrong, and what we would do.

  • “Seller details live in chat threads”

A founder's SKU count, marketplaces and city may be scattered across WhatsApp, email and a call note. When a sales person is away, nobody can say where the enquiry stands.

  • “The pipeline has stages specific to fulfilment”

Enquiry, rate sheet sent, warehouse visit, trial stock transfer, onboarding and contract are your real steps. A generic lead, opportunity, closed model hides where sellers actually stall.

  • “Peak-season capacity needs to be visible to sales”

A sales person promising festive capacity needs to see what is booked. Linking the CRM to a simple capacity view prevents a sale your floor cannot honour.

What we do

What we deliver for E-commerce fulfilment companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Pipeline stages for fulfilment

Stages named after your real steps, including trial transfer and onboarding, with a rule for moving a seller on.

Result: Every seller sits in a stage your team recognises.

  2. Seller record fields

SKU count, daily order volume, marketplaces, product type, city, remittance preference and decision maker.

Result: A sales person sees the facts without scrolling a chat.

  3. Source and referral capture

Fields that record whether the seller came from search, a brand referral, a community or an agency.

Result: You can see which routes bring trials and contracts.

  4. Quote and rate sheet record

The version of the rate sheet sent, the date and any questions raised.

Result: Nobody sends a different rate to the same seller by mistake.

  5. Team training and ground rules

A short session on what to log, when and in which field, with a named owner for the data.

Result: Your team enters records the same way.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

Fields worth keeping

A seller record should carry the products, the pincodes and the trial in one view.

Product handling flags
Filled by sales at the first call: batch, expiry, serial, fragile or liquid. It tells operations what to prepare before the trial inventory transfer arrives.
Platforms and couriers used
Filled at qualification. It shows which integration work the account needs and which courier contracts your team must align.
Trial transfer status and date
Filled by operations. It lets sales see whether the seller is waiting on you or you are waiting on the seller's stock.
Peak months stated by the seller
Filled by sales and read by operations. It feeds the capacity view so a new account is not promised space that festival volume will use.
Rate sheet version sent
Filled when a quote goes out. It stops two people quoting different terms to the same founder and shows which version they saw.

Who it is for

This is written for these E-commerce fulfilment companies.

  • D2C brands in beauty, personal care, food and apparel
  • Marketplace sellers on Amazon, Flipkart, Meesho and Myntra
  • Shopify and WooCommerce stores shipping across India
  • Home-grown fashion and jewellery labels with high return rates
  • Gourmet, snack and nutrition brands needing batch and expiry control
  • Electronics and accessories sellers handling serial numbers
  • Subscription box and gifting businesses with seasonal spikes
  • Cross-border sellers shipping to or from India

Not for

It is not the right fit if.

  • Your team still trades enquiries in personal chat threads with no agreed owner, so a CRM would simply hold whatever one person types.
  • Operations and sales do not yet share a view of capacity, so a pipeline stage would promise space nobody has checked.

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We sit with the people who sell and write down how a deal moves from enquiry to payment, including where it stalls.

  2. 2

    Agree stages, fields and owners

Each stage gets a name your team already uses and a proof that the deal has left it. We agree which fields are required at which stage, and who may change what.

  3. 3

    Build on a copy

Pipeline, fields and views are built on a trial copy where the CRM offers one, or in a separate pipeline where the plan allows. Live work stays untouched.

  4. 4

Connect channels, then switch on automations

Channels are connected first. Each automation is then switched on separately, so a misfiring rule is easy to find.

  5. 5

    Test with real deals

The people who will use the CRM run open deals through it. Gaps are fixed before the whole team switches over.

  6. 6

    Switch over and trim

Once real use shows which fields stay empty and which stages nobody uses, those are cut and the handover record is updated.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Which CRM should we buy?
We help you choose by fit with your stages, team size and budget, not by brand. Several tools in ordinary use in India can do this, and the setup matters more than the name.
Will the CRM connect to our warehouse software?
Possibly, depending on both systems. We design the sales side and note what would need to connect, but your operations team and software vendor decide on integration.
Who should have access?
Sales, the operations lead for capacity and onboarding, and a manager for reports. Limit edit rights to those who need them.
What should we stop doing once we have a CRM?
Stop keeping a seller's terms only in a chat thread or one person's sheet. Move the quote, the date and the owner into the record. Chats can stay as the working channel, but the record is where the next person finds out what was agreed.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
