Industrial repair and maintenance companies · Sales process

Move a plant from a breakdown call to a standing contract in clear steps.

A sales process for an industrial repair company is the set of steps from the first call to the job card, the quotation, the repair, the invoice and the contract. Each step has an owner and a note. GullySales writes your process in the words your team uses and checks that each step is recorded.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

For industrial repair and maintenance companies

Where it usually goes wrong, and what we would do.

  • “The visit and the quote are different people”

The technician sees the fault, the owner prices it and the coordinator sends it, so details are lost between three people.

  • “The plant buys on price after approval”

A purchase officer asks for a second quote after the maintenance head has already chosen you, and nobody is prepared for it.

  • “Nobody asks for the contract”

A job ends with an invoice, and the offer of an AMC is left unsaid because nobody is assigned to say it.

What we do

What we deliver for industrial repair and maintenance companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A written process in your own terms

One page listing the steps (call, visit, estimate, quotation, approval, repair, invoice, AMC offer) with who does each and what is written down.

Result: A new coordinator can run the process from the page.

  2. An inspection and estimate format

A standard sheet for the visit: machine, fault, cause, parts, labour, test and photographs, so the quotation is built from facts.

Result: Quotations stop depending on what the technician remembers.

  3. Quotation templates with terms

A clear quotation with scope, exclusions, spares, GST, payment terms and validity, in the format a plant's purchase department accepts.

Result: A purchase officer finds the details he needs without a call.

  4. A price-objection guide

Written answers for the plant that has a lower quote, an approved vendor or a request to wait for the next budget.

Result: The team answers calmly instead of discounting at once.

  5. AMC offer at job close

A short offer attached to the completion report for any plant with other machines, with a call date set.

Result: Each finished job opens the question of a contract.

How the result is measured

  • Deals following the process
  • Time spent at each step
  • Drop-off rate by step

Recorded as a baseline before work starts, so every later report has an honest comparison.

Steps of a sale

Write each step the way your own team says it, and note what each one records.

Breakdown call
Take plant, machine, make, fault and whether the line is stopped. Name who is visiting and when, and send that on WhatsApp so the plant knows someone owns it.
Site inspection
Complete the inspection sheet with photographs of the fault and the nameplate. The quotation is built from this sheet, not from a phone call.
Estimate and quotation
Send scope, spares, labour, GST, payment terms and validity. Record the amount, the date and the follow-up date in the plant record.
Approval and purchase order
Ask who approves and whether a purchase order is needed before work. Starting without one can delay payment, so note the order number against the job.
Repair, test and handover
Complete the job card with work done, parts used and test result, signed by the plant's engineer. A signed card settles most disputes about the invoice.
Invoice and AMC offer
Send the invoice with the completion report, and make the AMC offer in the same message for plants with other machines. Log the reply and a call date.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the sales process work runs

  1. 1

    Study current deal flow

We trace how deals actually move today, comparing across reps and outcomes.

  2. 2

    Define the stages

Clear stages and criteria are designed to match how deals genuinely progress and close.

  3. 3

    Configure the CRM

The process is built into your CRM so it is enforced structurally, not just documented.

  4. 4

    Train the team

Reps are trained on the new process and why each stage exists.

  5. 5

    Review adoption

We check after rollout whether the process is being followed and adjust where it is not.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

Your brief

Eight short steps about your business, what you want and who decides. Most questions are a tap, and you can skip any you would rather answer on the call.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Should the technician quote on site?
Give a rough range only if the fault is clear and the owner has set the rule. Written quotes should come from the office with the inspection sheet. A wrong figure given on site is hard to withdraw.
What do we do with a buyer who only asks for the lowest price?
Ask what is in the other quote: parts used, warranty, test and who does the work. If the plant still wants only price, quote clearly and move on. Do not cut a margin you cannot sustain.
When should we follow up a quotation?
Set the first call date when you send it, and agree it with the buyer: ask when the purchase decision will be made. Then call at that date and write what he said.
Can we add a step for approved-vendor registration?
Yes. Add it as its own step with the papers the plant needs and a person who chases it. Registration often takes several rounds, and without an owner it stalls.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
