Alumni associations · Non-profit
Find the batch you have lost touch with and write to it properly.
The association of an engineering college has many thousands of names, and far fewer working phone numbers. The batch of 1994 has a strong WhatsApp group; the batch of 2011 has none. The treasurer wants to fund twenty scholarships and has no way to ask the right people.
Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

In one paragraph
An alumni association is a body of former students of a school, college or institute, held together by reunions, chapters, mentoring and giving. Its work is tracing lost contacts, filling events and raising money for scholarships and buildings. GullySales prepares the cleaned database, the batch-captain scripts and the giving page, with consent recorded for every name.
An alumni body sells only three things: a chance to meet, a chance to help, and a chance to be remembered. Each one needs a list that someone has looked after, and a person that alumni trust to ask.

How buyers decide
How alumni associations are chosen.
An alumnus answers a classmate before the alumni office. Recent graduates look for jobs and mentors, mid-career alumni for reunions and city chapters, and senior alumni for recognition and a chance to give back.
Donors choose a cause they can see. A named scholarship, a lab or a hostel room is easier to picture than a general fund. They also want to know the money was spent as promised, and they notice an appeal that arrives with no thank-you for the last one.
The institution matters too. An alumni body that cannot get a student list or a hall from the college has little to build on, so the office and the college have to be on speaking terms.
The problem
What usually goes wrong for alumni associations.
What owners tell us on the first call, in their words.
“Most contact details are out of date”
Phone numbers change, email addresses lapse, and the only record is the printed directory handed out at the last reunion.
“Reunions depend on one enthusiastic batch”
The same few batches organise, while others have never met.
“Giving drives feel like begging”
Donors receive a generic appeal and never hear what their gift did.
“City chapters meet by accident”
Alumni in Bengaluru, Pune or Dubai meet when someone remembers. There is no list of who lives there and no named organiser.
“Young alumni are not engaged”
A graduate moves to a new city for a first job, changes the phone number and is not on any list within a year.
What we do
What we do for alumni associations.
Everything included for alumni associations.
A cleaned alumni database
Batch, programme, city, employer and contact, matched across old lists, WhatsApp groups and event sign-ups, with a consent column.
A batch captain plan
A named alumnus for each batch who sends the first message, supported by a short script and a tracking sheet.
City chapter kits
A starter list of alumni in the city, a first-meeting plan and a sign-up form for a coordinator.
A giving page
Named funds, what each pays for, how to give and how the donor will be thanked.
A mentoring and jobs board
Alumni offering time or roles, recent graduates asking, matched by programme and city.
Thank-you and impact notes
A personal note after a gift, and a short account of what the fund paid for, using only facts the association holds.
How the result is measured
- Alumni with a verified contact
- Batches with a captain
- Reunion registrations
- Chapter meetings held
- Donors and repeat donors
- Mentoring matches made
Recorded as a baseline before work starts, so every later report has an honest comparison.
Every service, written for alumni associations
Each has its own page: what it involves for alumni associations, what you get, and what it is measured on.
- Lead generationTurn a faded alumni list into named people who have said yes to hearing from you.
- SEOLet a former student searching for the batch of their year land on your page.
- Social media marketingPost for the alumni who scroll past, not only the ones already in the group.
- Content marketingPublish what alumni want to read about each other, the college and the fund.
- Buyer personasWrite to the alumnus you are actually trying to reach, not to everyone who graduated.
- CRMKeep every alumnus in one record that says who they are and how to reach them.
- Follow-up systemsReply to every alumnus who showed interest, and thank every donor by name.
- WhatsApp marketingUse the batch WhatsApp group as the front door, with permission and a named admin.
- Digital marketingConnect the web page, the mail list and the groups so alumni land in one place.
- WebsiteBuild a site where an alumnus can find the batch, join the chapter and give.
Worth a page and a campaign of their own
Rebuilding and verifying the alumni database · Reunion registrations and batch captains · City and overseas chapter launch · Scholarship and building fund drives · Mentoring and job board for recent graduates · Annual meet sponsorship · Alumni awards and recognition · Communication of what donations achieved · Opt-in newsletters and WhatsApp groups
Priority campaigns
Campaigns for what alumni associations most want to sell.
Each one planned around when your buyers decide, and measured against the baseline.
Find the lost batch
A drive to trace and re-verify contacts for batches with no working list, led by a volunteer from each.
Reunion registration
An invitation sequence by batch, a sign-up form, plan notes and a thank-you.
Scholarship giving drive
A named scholarship, a story of one recipient told with consent, and a request made by a batch captain.
Overseas chapter launch
A list of alumni in one overseas city, a first online meet and a local coordinator.
Beyond search
Where we reach buyers of alumni associations, beyond Google.
Search matters, but it is rarely the only way this industry's buyers find a supplier.
Recent graduates
The final-year student about to leave the hostel, reached through the orientation talk, the placement cell and the class group, with the college's consent.
Mid-career alumni in cities
The manager in Pune or Hyderabad who left ten years ago and still scrolls past the batch group on the phone. LinkedIn and the batch captain are the way in.
Senior alumni and donors
A founder or senior executive who is asked by someone from the same batch, with the choice of a named fund laid out in the first letter.
The institution's office
The registrar or principal who controls graduate records, the use of the hall and the invitation to a convocation. We write a one-page note on what the association asks of the college.

Not for
It is not the right fit if.
- You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
- You need enquiries by next week and have nobody to answer them.
- You want posts and reach reported, not enquiries and orders.
How it works
How the work runs for alumni associations
The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.
- 1
Ask how the list was built
The office bearers and the college say where each batch's contacts came from and what consent exists for them.
- 2
Clean and consent
Old directories, WhatsApp groups and sign-up sheets are merged, duplicates removed and consent marked, with the use of personal data agreed against data protection rules.
- 3
Set up batch and city routines
Batch captains, chapter coordinators and a shared sheet that lists who is responsible for which batch or city.
- 4
Run reunion and giving drives
Each request sent by the right person, with replies recorded.
- 5
Count who can be reached today
Alumni with a working contact, the last reunion's attendance and past donors are counted first, so the association holds its own starting figures.
Where this fits
Three pieces of sales work, in this order.
GullySales builds every engagement from three pieces of sales work. This page is not one of them, but the same three steps apply to the business behind it.
Step 1
Sales audit
Find where deals are being lost and what to fix first.
Start here if you cannot say where orders are lost.
Step 2
Sales process design
One written way to sell, from first enquiry to repeat order.
Start here if every salesperson sells differently.
Step 3
Sales management
A target, a review routine and someone who owns the number.
Start here if the team has targets and no routine.
