Alumni associations · WhatsApp marketing

Use the batch WhatsApp group as the front door, with permission and a named admin.

WhatsApp marketing for an alumni association means using groups, broadcast lists and the business app to reach batches and chapters with reunion, giving and mentoring news. GullySales sets up the groups, the messages and the opt-in record, and says plainly what to check against the platform's current rules.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For alumni associations

Where it usually goes wrong, and what we would do.

  • “The batch group is already where alumni talk”

A batch of a college or school may have an active group long before the association writes to it. Joining it through the captain, with the admin's agreement, reaches people the official list has lost.

  • “Adding people without asking turns a group into a complaint”

An alumnus added to a group without being asked may leave in irritation. An invitation link with a short description of the group's purpose respects the person and keeps members who want to stay.

  • “One admin leaving takes the group's history with them”

When the person who runs a group changes number or steps away, announcements stop. Two admins and a written purpose for each group keep it running through changes at the top.

What we do

What we deliver for alumni associations.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Group structure for batches and chapters

A plan for which groups exist, who admins each and what each is for, with a rule against mixing fundraising and chat.

Result: Each group has a named purpose and two admins.

  2. Opt-in invitation message

A short text and link inviting alumni to a group or broadcast list, saying what they will receive.

Result: Members join knowing what the group sends.

  3. Broadcast message templates

Short formats for reunion dates, chapter meets, mentoring calls and fund updates, written to read like a person.

Result: Announcements are short, clear and from a named sender.

  4. WhatsApp Business setup

A profile for the association with a description, hours and quick replies for common questions.

Result: The office answers repeat questions the same way.

  5. Opt-out and record sheet

A log of who agreed to broadcasts and who asked to stop, linked to the main alumni sheet.

Result: Opt-outs are honoured and visible.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand current WhatsApp use

We review how customers currently message you and how consistently, if at all, it is answered.

  2. 2

    Audit common questions

We identify the questions that come up repeatedly, which decide what should be automated first.

  3. 3

    Set up automation and templates

An automated first response and quick reply templates are built for the most common needs.

  4. 4

    Connect to the CRM

Conversations are linked to customer records so context carries over between team members.

  5. 5

    Measure and optimise

We track response time and conversion, refining automated responses based on what customers actually ask.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Is it fine to message alumni on WhatsApp?
Where they have agreed to hear from you, yes. Keep the opt-in on record and check the platform's current rules on business messaging before any broadcast.
Should donation requests go in the batch group?
Be careful. A request in an open chat can feel like pressure; send it by the captain to individuals or through a separate opted-in list. Donation rules differ by state and body, so check with your own adviser.
What if the batch group refuses the association?
Respect it. The captain can still share the sign-up link or an update when invited, and the association builds a separate opted-in list alongside.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
