Automotive service franchises · CRM

Keep every franchise candidate and every outlet customer in a record someone owns.

A CRM for an automotive service franchise is the shared record of every candidate on the way to a signed unit and every customer who has used an outlet. GullySales works on setting up the fields, stages and owners so nothing sits in a personal phone.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For automotive service franchises

Where it usually goes wrong, and what we would do.

  • “Candidate stages are long and easily forgotten”

A candidate may enquire, visit an outlet, ask for references, then go quiet while arranging capital. Without a recorded stage and a next step, the lead dies in a sales executive's WhatsApp, and the brand never learns why.

  • “Franchisees keep customer records in notebooks”

The job card lives on paper or in a billing app the brand cannot see. When the franchisee leaves, the customer list goes with them. The brand needs a rule for which customer data is shared and under what consent.

  • “One tool for two pipelines becomes a mess”

Candidates and customers need different stages. Mixing them in a single list gives a dashboard where an investor sits beside a customer wanting a car wash. Two pipelines, one system, is cleaner.

  • “Reports that nobody reads are not trusted”

If the sales head and the operations head each see different counts, they stop trusting both. A short list of agreed fields and a single place to read them keeps both teams working from the same facts.

What we do

What we deliver for automotive service franchises.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A candidate pipeline with named stages

Stages from enquiry through call, visit, references, agreement and opening, each with an owner and a required next step.

Result: Every candidate has a stage and a person responsible.

  2. An outlet customer record

Fields for vehicle, last service, next service due and consent, kept as the outlet's customer file.

Result: An outlet can find who is due for a service.

  3. Rules for what the brand and outlet see

A written split of which data the brand holds, which stays with the franchisee, and how customer consent is recorded.

Result: A change of franchisee does not strand the customer list.

  4. Import of existing leads

Clean-up and loading of your current enquiry sheets, portal exports and phone contacts into one system.

Result: Old leads stop living in five places.

  5. A short dashboard

Counts by source, stage and outlet, set up in a tool such as Zoho CRM, LeadSquared or HubSpot as fits your size.

Result: Sales and operations read the same numbers.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We record how a deal actually moves from enquiry to close in your business today.

  2. 2

    Configure stages and fields

The CRM's pipeline and fields are built to match that process exactly, not a generic template.

  3. 3

    Set up automations

Reminders, assignment rules and follow-up triggers are configured so routine steps happen without manual effort.

  4. 4

    Test with real deals

We run the configuration against actual current deals to catch gaps before the whole team relies on it.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Which CRM should a franchise brand use?
The one your team will use every day. We compare a few real options in India against your size and budget, and we advise on fit instead of pushing a brand.
Can franchisees see all customers of the brand?
No. Each outlet sees its own customers. The brand sees the whole, within the consent customers have given. Check data and privacy rules with your own adviser.
Do we need a CRM before we have a wide network?
A small network gains from starting early, since habits are easier to set than to change. A simple sheet with fixed fields is a fair beginning if a full system feels heavy.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
