Automotive service franchises · Follow up systems

Reply to the candidate on Sunday night and remind the driver before the service is due.

A follow-up system for an automotive service franchise is a written routine that tells the team and the outlets who contacts a candidate or customer next, with what message. GullySales works on the routine for both groups, with a named owner for each step.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For automotive service franchises

Where it usually goes wrong, and what we would do.

  • “Candidates cool when nobody writes”

A garage owner who enquired and heard nothing for two days has already spoken to another brand. The first reply, and the question that follows it, decide whether the second conversation happens.

  • “A visit to an outlet needs its own follow-up”

When a candidate visits a working outlet, the franchisee talks and the brand hears nothing. A visit note and a message the same evening turn a pleasant visit into a next step.

  • “Drivers forget what they were told”

A mechanic mentions that tyres are worn and the owner says next time. Nobody records it. A noted advice and a reminder message let the outlet return to that conversation when the owner is ready.

  • “Reminders sent without consent annoy”

A message about insurance renewal sent to a number that never agreed feels like spam. Consent captured at billing and a reminder in the outlet's own name keeps the message welcome.

What we do

What we deliver for automotive service franchises.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A candidate follow-up ladder

A written sequence of messages and calls from first enquiry to signing, each with a purpose and a stop rule.

Result: No candidate waits without a planned next contact.

  2. A post-visit routine

A message and a checklist after a candidate visits an outlet, covering their questions and the next meeting.

Result: A visit always ends with a recorded next step.

  3. Service due reminders

WhatsApp or SMS messages for next service, tyre rotation and renewal dates, sent by the outlet the customer used.

Result: Customers hear from the workshop that knows their vehicle.

  4. Lost-candidate and lapsed-customer messages

Short, polite notes for people who went quiet, with a clear way to say not now.

Result: Quiet leads get one respectful nudge and a way out.

  5. An owner and a log for each step

A list showing who sends which message, and a place to log that it went.

Result: Dropped follow-ups show up in the log.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

When does a follow-up become pushy?
Agree a stop rule: after a set number of unanswered attempts, pause and wait for the person to return. We set that rule with you so the brand never looks pushy.
Should we automate every message?
Automate reminders and receipts. Keep candidate conversations human, with a person writing after the first reply. A franchise decision is not a form to be filled by a machine.
Who owns follow-up when a franchisee changes?
The brand owns the process and the data within consent. A written handover step in your agreement keeps customer reminders running when an outlet changes hands.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
