Diagnostic franchise networks · Follow up systems

Make sure no enquiry, doctor or camp request is left waiting for someone to remember.

A follow-up system for a diagnostic network is a set of rules for who replies to what, by when and with what message. It covers candidate enquiries, patient bookings, doctor visits and corporate camps. GullySales writes the rules, the templates and the reminders and sets them up in the tools you use.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For diagnostic franchise networks

Where it usually goes wrong, and what we would do.

  • “A candidate waits for an answer and then moves on”

A pharmacist who submitted a franchise enquiry compares several networks. The one that replies with a clear next step, such as a call and the candidate document, stays in the conversation. A silent form submission is lost.

  • “A home collection call must become a booking”

The patient has asked about a slot and then gone quiet. A confirmation message with the tests, address, fasting note and time closes the loop, and a reminder before the visit prevents a missed collection.

  • “Doctor follow-up is a second visit, not a second brochure”

After the first meeting, the next contact should carry something new: a changed timing, a new test or a named person for queries. Repeating the same pitch makes the centre forgettable.

  • “A report query is also a follow-up”

A patient asking where a report is wants a reply with a clear next step. Logging the query and passing it to the reference lab contact stops the same patient calling three times.

What we do

What we deliver for diagnostic franchise networks.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A follow-up rulebook

A table of enquiry types, the person responsible, the first reply and the next step.

Result: One page that tells each person what to do with each enquiry type.

  2. Message templates

Templates for candidate replies, booking confirmation, fasting reminders, doctor updates and camp proposals.

Result: Each template has a named use.

  3. Booking confirmation and reminder

A message sent when a slot is booked, with a reminder before the collection.

Result: Every booking has a confirmation in the log.

  4. A pending list

A view of enquiries awaiting a reply or action, with the owner for each.

Result: The owner can see what is waiting and with whom.

  5. A report query path

A route from the counter to the reference lab contact, with a note kept against the patient's booking.

Result: Each query has a status and a person.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Who should own follow-up at a franchise centre?
One named person per centre, with a backup. Without a name, enquiries sit with whoever saw them. Head office owns the candidate follow-up and the templates.
Can reminders include test names?
Keep messages to the slot, the address, the preparation note and a callback number. Health data rules differ, so check with your own adviser before adding more.
Does automation replace the counter staff?
No. Automation sends confirmations and reminders. A person still answers questions, handles complaints and visits doctors. The system tells them what is waiting.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
