Facility management companies · Buyer persona

Write down who actually signs, who evaluates and who complains before the next bid.

A buyer persona for a facility management company is a written description of each person involved in awarding and renewing a contract, from the admin head to the procurement officer. GullySales builds those personas from your own tender history and site contacts, so your proposals address the real questions each person asks.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What buyer persona means

A buyer persona is a plain description of the kind of customer who actually buys from you. It includes what they search, what worries them and who else they ask before deciding. GullySales builds this from real enquiries and past sales rather than a generic template, then uses it to write every page and advert.

For facility management companies

Where it usually goes wrong, and what we would do.

  • “The signer is not the daily user”

Procurement or the finance head signs the contract, while the facilities manager or admin head lives with the service every day. Each reads a proposal for a different reason, so one document written for a generic client satisfies neither.

  • “The facilities manager judges you by the complaint”

A facilities manager remembers the vendor who answered the call at night and the one who did not. Their persona is built around escalation, supervisor quality and how quickly a problem gets owned, so the proposal should show how complaints travel.

  • “Procurement reads for risk and comparability”

A procurement officer compares bids line by line and looks for gaps in compliance papers and references. This persona wants annexures complete, scope matching the tender and nothing that forces a clarification round.

  • “A residential society buys differently again”

A welfare association committee is made of volunteers who decide at a meeting after hearing from neighbouring societies. Their persona values a site visit, plain language and a committee member who can vouch for you.

What we do

What we deliver for facility management companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Persona sheet for each buying role

A one-page description per role covering what they decide, what they fear, what they ask for and the documents they expect.

Result: Your team can say who a proposal is written for.

  2. Interview notes from your own site contacts

Short conversations with current and past site contacts, written up in their words, with permission recorded.

Result: The personas rest on what your clients actually said.

  3. Win and loss review of recent tenders

A structured look at your last bids, noting who evaluated, what was asked and where you fell short.

Result: The reasons for losing a bid are written down rather than guessed.

  4. Question bank per persona

The questions each role asks before awarding or renewing, with the answer and the document that supports it.

Result: A new bid manager can answer an evaluator without searching for papers.

  5. Proposal cover note by role

A short opening note for the signer, the facilities manager and the procurement desk, each leading with what that person weighs.

Result: One bid reaches three readers in language each recognises.

How the result is measured

  • Enquiry match to persona
  • Conversion rate by persona
  • Content aligned to persona

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the buyer persona work runs

  1. 1

    Understand the current view

We start with how your team currently describes the customer, since the gap between belief and reality is often the finding itself.

  2. 2

    Audit past enquiries and sales

We look at recent enquiries and closed deals to see who actually bought, not who was assumed to buy.

  3. 3

    Interview customers and staff

Short, structured conversations surface the real language, worries and triggers behind a purchase.

  4. 4

    Build the personas

Findings are written into short, usable persona documents rather than a long report.

  5. 5

    Apply to your marketing

We show exactly where each persona should change a page, an ad or a script you already have.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

How do we build personas without inventing them?
Start from your last bids and the people you dealt with at each site. Add short conversations with current contacts. A persona drawn from real tender files holds up better than one assembled from assumption.
Is a persona needed when the buyer is a government body?
Yes, though the roles are different. An institutional buyer has an evaluation committee, a technical reviewer and an accounts officer. Writing down what each checks makes the document set complete before you submit.
Do personas change for housekeeping and security contracts?
Yes. A security contract draws the head of administration or a safety officer into the decision, while housekeeping rests more with the facilities manager. Note the extra voices in each persona sheet.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
