News media companies · Follow up systems

Chase every open quote and every ending plan before the buyer forgets you.

A follow-up system for a news media company is the set of reminders, messages and owners that move a quote to a booking and a subscription to a renewal. GullySales works on the messages and the rules for who sends what, and when.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For news media companies

Where it usually goes wrong, and what we would do.

  • “A quote sent is not a quote won”

The rate card goes out on WhatsApp and the advertiser says they will think. Without a next step written down, the ad team moves on to the next call and the quote ages unanswered.

  • “Festival booking dates are the real deadline”

A Diwali supplement closes on a date the advertiser must know. A message that states the last date to book gives the shopkeeper a reason to decide now.

  • “Subscribers lapse in silence”

A paying reader whose plan ends on a Tuesday is not told, and a month later is gone. A reminder before the end, with an easy UPI renewal, costs less than winning a new reader.

  • “Follow-up that sounds automated loses the local relationship”

An advertiser who has known the sales executive for years expects a personal message. Templates should be a starting point the executive can make their own.

What we do

What we deliver for news media companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A follow-up ladder for open quotes

The order of messages after a quote: a thank you, a reminder with the booking date and a closing note.

Result: Every quote has a written next step.

  2. A festival booking reminder set

Messages for each advertiser group tied to the last date to book for each supplement or season.

Result: Advertisers hear the date before it passes.

  3. A subscriber renewal set

A pre-expiry message, an offer and a post-expiry message with a UPI payment link wording.

Result: Each subscriber is told before the plan ends.

  4. An owner for every follow-up

A named person for each message type and a place where done and pending are visible.

Result: Nobody assumes a colleague sent it.

  5. A lost-quote note

A short record of why a quote was not booked, so the reason is not lost.

Result: Reasons gather in one list.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many times should we follow up a quote?
Set the number with your ad team and stop when the advertiser says no. Do not push past a clear refusal, as the relationship is worth more than the single sale.
Can follow-ups go out automatically?
Reminders to subscribers can be scheduled. Advertiser follow-ups are better sent by the executive who knows the owner. Check the messaging platform's current rules before any bulk send.
What if an advertiser stops replying?
Leave a final, friendly message, record the status and set a reminder for the next relevant festival. Silence this season does not rule out the next.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
