Property valuation services · Follow up systems

Follow up on each enquiry, quote and panel application until it is answered, one way or the other.

A follow-up system for a valuer is a routine that tells you who to contact next on every open enquiry, quote and lender application. GullySales writes the routine and the messages, and you decide the dates.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For property valuation services

Where it usually goes wrong, and what we would do.

  • “A quote goes cold without anyone refusing it”

An owner asks the cost, hears a figure and goes quiet. The owner may be waiting for a family member or a bank letter. A polite check-in with a clear next step brings the answer.

  • “A panel application is followed up differently”

A lender's team takes its own time. A courteous note that asks whether any document is missing, sent when you choose, keeps you visible without pressing.

  • “Missing papers stall reports”

The delay on a file is a document the owner has not sent. A standard reminder listing exactly what is awaited saves the valuer from chasing by phone.

  • “After delivery there is a second follow-up”

Once the report is delivered, a note to the adviser or branch asking whether it met their need keeps the door open and shows where your reports fall short.

What we do

What we deliver for property valuation services.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A follow-up sequence per situation

Message sets for a new enquiry, a quote sent, documents awaited and a report delivered.

Result: Each situation has a written message ready to use.

  2. A document reminder note

A standard message listing the papers still awaited for a property type.

Result: The owner sees exactly what is missing.

  3. A lender follow-up template

A short note to a credit or empanelment team, with the application status and an offer to send more.

Result: A courteous note you can send in a single sitting.

  4. A daily check list

A view of every open item due for contact, with the owner of each task.

Result: The front desk opens one list each morning.

  5. A post-delivery note

A thank-you and feedback request to the adviser or branch after each report.

Result: Each delivered file gets a closing note.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

What rhythm should we follow up on?
You set the rhythm that suits your relationships. We write the messages and the reminders and do not impose a schedule.
Will follow-ups seem pushy to a bank?
Not when they are short, polite and carry new information, such as a document or a change in staff. We write them that way.
Do we automate the messages?
Only the reminders, if you wish. A person should still read replies, and a lender note should come from you.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
