Residential apartment developers · Follow up systems

Call the buyer back with what was said on the visit, not a fresh script.

A follow-up system for an apartment developer is the routine that decides who calls which buyer next, what they say and when to stop. GullySales works on the reminders, messages and notes that keep a slow, family-led decision from going quiet.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For residential apartment developers

Where it usually goes wrong, and what we would do.

  • “The decision takes many conversations”

A family compares projects, talks to parents and waits for a loan sanction. A developer who calls once and then waits for the buyer to return has left the conversation to the competitor.

  • “The no-show needs a different call from the visit”

A family that did not come on Saturday may have had a reason. Asking if another day suits is better than a script that treats the missed visit as lost interest.

  • “Follow-up after the visit should carry the family's own words”

If the buyer said the kitchen was small and the loan was unsure, the next message should speak to that. A general reminder about the offer reads as if no one listened.

  • “Knowing when to stop is part of the system”

A buyer who has said they bought elsewhere should be closed politely and left alone. Calls that continue past that point damage the developer's name and waste an executive's day.

What we do

What we deliver for residential apartment developers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Follow-up map by stage

A plan of what happens after enquiry, after a booked visit, after a no-show, after a visit and after a quotation.

Result: Each stage has a next action and an owner.

  2. Message templates

Short call scripts and WhatsApp messages for each stage, written to be edited with the buyer's own details.

Result: Executives start from clear wording and add the buyer's story.

  3. Reminders for the executive

Visit-day reminders and next-call prompts inside the enquiry record.

Result: No named buyer is left without a next step.

  4. Revisit and negotiation routine

A way to bring a buyer back for a second visit with the parents, and to record what was offered.

Result: Offers and promises are written down.

  5. Closing and re-opening rules

When an enquiry is marked lost, with the reason, and when it is brought back, such as for a new tower or a price revision.

Result: Lost reasons show you what to fix.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

How many follow-up calls are right?
There is no fixed number. It depends on the buyer's stage and what they have asked for. We set a rule with your sales head and test it against your records.
Will follow-up annoy buyers?
It can if it is repeated and generic. A call that refers to the visit and asks a useful question is different. Respect any request to stop and check the platform's current rules for messages.
Can this be automated?
Reminders and first messages can. The conversation about a flat should stay with a person. We automate the prompts, not the relationship.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
