CRM, lead flow and sales techniques · Lead management
Tag every contact by stage, person and product, then pick one segment to work first.
Contact segments for lead management are groups in your database defined by lifecycle stage, buyer persona and product interest. Tagging them lets you send each group a message that fits. The page ends with a segment sheet that names the first segment to target and why.
Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

In one paragraph
Contact segments for lead management are groups in your database defined by lifecycle stage, buyer persona and product interest. Tagging them lets you send each group a message that fits. The page ends with a segment sheet that names the first segment to target and why.
A tiles distributor in Rajkot has eleven thousand contacts in an Excel file and a WhatsApp broadcast list. When a new vitrified range arrives, the staff send it to everyone. Contractors who wanted bathroom fittings unsubscribe, and the retailers who would have ordered scroll past it.
Segmenting means tagging each contact with three things: where they stand (enquiry, quoted, customer, lapsed), who they are (contractor, retailer, architect, homeowner) and what they asked about. Then you add a fourth group for people who have stopped replying or asked not to be contacted.
The marketing person does the tagging and the owner picks the first segment, the one with the most revenue that you can reach by phone or WhatsApp. It replaces the single list that everything goes to. Do not start with the largest group; start with the one you can serve well.
It follows the lead audit and comes before the qualification matrix and the nurture plan, which both depend on knowing who is in which group.

The work
What this is actually like.
“Tag by stage first”
Lifecycle stage is the tag that changes what you say. Someone who bought last month and someone who asked for a quote a year ago need completely different messages. Get every contact a stage before you spend time on persona or product tags.
“Language, locality and PIN code count”
In India a Kannada-speaking retailer in Hubballi and a Hindi-speaking one in Indore are different segments, even if the product list is the same. Add language and PIN code columns now, because a message in the wrong language is read as an advertisement.
“Count the untagged ones honestly”
Most databases have a large share of contacts with no stage, no persona and no product. Count them. That number is the real size of the job, and it stops you promising a campaign to a list you cannot yet target.
“The first segment should be winnable”
A segment must have enough customers or profit, be measurably different from the rest, be reachable by your own team and be serviceable without stretching. If it fails any of these, pick the next one. A big segment you cannot reach is a vanity count.
What we do
What you end up with.
The documents this topic produces, what each one is for, and how you know it is finished.
The tagging baseline
A count of total contacts and of how many carry each tag: stage, persona, product interest, language, PIN code. One row for each tag with the number tagged and the number blank.
Result: Finished when you can say what share of the database is untagged to the nearest ten per cent.
The segment definitions
A sheet with one row per segment: the rule that puts a contact in it, the count, the revenue from it in the last year, and the channel you will use. Include the not-to-contact group.
Result: Finished when two people applying the rules to the same contact put them in the same segment.
The candidate comparison
Three to five segments scored on size, profit, difference from others, reach and ability to serve, with the owner's local knowledge in a notes column.
Result: Finished when the choice of first segment has a written reason beside it.
The segment sheet
The chosen segment's contacts exported with name, number, stage, persona, product interest, language, PIN code and last contact date.
Result: Finished when the person sending the first message can work from this sheet alone.
