CRM, lead flow and sales techniques · Lead management

Trace twenty real leads through five stages to see which ones work and which do not.

A lead management audit checks which of five stages work today: generation, qualification and segmentation, nurturing, handover, and follow-up. Alongside it, a map plots each marketing and sales activity against the steps the buyer takes. The page ends with a gap list and the order to build in.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

In one paragraph

A lead management audit checks which of five stages work today: generation, qualification and segmentation, nurturing, handover, and follow-up. Alongside it, a map plots each marketing and sales activity against the steps the buyer takes. The page ends with a gap list and the order to build in.

A water-purifier dealer in Coimbatore runs an IndiaMART listing, a JustDial entry, a website form and Instagram. Enquiries land in four places, two staff reply to some of them, and a third sees none. At month end the owner asks 'how many enquiries did we get?' and nobody can answer.

The audit starts with last ninety days of real data: leads by source, customers won, how fast the first reply went out. Then take ten recent customers and ten lost leads and trace each one: where it came from, how far it travelled, and where it stopped. The stage with the most stalls is where to start.

The sales head runs it, the marketing person supplies the source data, and the owner decides the build order. It replaces opinions like 'we need more leads' with a list of what actually happens to the ones you have. Enquiries from marketplaces go to several sellers simultaneously, so the website is not the only source to audit.

The map is drawn afterwards: awareness, consideration and decision across the top, marketing and sales down the side, every activity in its cell. It comes before segments, qualification and nurturing, which this section builds one by one.

If you want this done for you

Nobody can say where the enquiries go between arriving and closing.

The work

What this is actually like.

  • “Marketplace leads belong in the audit”

An IndiaMART or JustDial enquiry reaches you and several competitors within minutes. Leave them out and the audit hides your fastest-decaying leads. Record the time of arrival, the time of your first reply and whether the buyer ever picked up.

  • “Response time shows up before conversion”

Owners compare close rates and miss that the lead was cold before anyone phoned. Log the gap between arrival and first call for every lead, and sort the slow ones. The pattern is usually clearer than any dashboard.

  • “The WhatsApp number is a lead source”

Enquiries arrive on the shop's personal phone, the owner's number and a broadcast list. If they never reach a shared sheet, your count is short and your follow-up is luck. Add every number that receives a buyer message to the data pack.

  • “A map shows what you assume”

When you place each activity in its cell, you find a dozen things at awareness and nothing at decision. The gaps are where buyers meet nobody. Ask who is responsible for each blank, and if the answer is 'no one', that is the build list.

What we do

What you end up with.

The documents this topic produces, what each one is for, and how you know it is finished.

  1. The ninety-day data pack

Visitors or contacts by channel, leads by source, customers won by source, and time to first reply for each lead. Columns: source, date in, first reply, furthest stage, outcome.

Result: Finished when every lead from the last ninety days is on one sheet, including WhatsApp and marketplace ones.

  2. The twenty-lead trace

Ten wins and ten losses, each with its path through the five stages and the point where it stopped or moved. Notes in the rep's own words.

Result: Finished when the sales head can point to the stage where most of the lost ones stalled.

  3. The stage scorecard

A row for each of the five stages with a yes or no to one gate question, such as 'does every new lead get a reply on the same day?', and a note on the evidence.

Result: Finished when each answer is backed by a record, not a memory.

  4. The path-to-purchase map and build order

A grid of marketing and sales activities against awareness, consideration and decision, with gaps marked, and a numbered list of what to build first.

Result: Finished when the owner has signed off the first three items and named who does each.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

We have very few leads. Is an audit worth doing?
Yes, and it is quicker with a short list. Five leads traced carefully tells you more than fifty counted loosely. If you have no records at all, start recording this week and audit in a quarter.
Who should run it?
The sales head or owner, with the person who answers the phone in the room. Someone who knows how leads really get handled gives better answers than a report would.
How is this different from a diagnostic?
This is a worksheet you do on your own records. GullySales also offers a paid diagnostic, which is a deeper analysis of your data with a fee quoted in writing first, if you want an outside read.
What do we do with the build order?
Start with the earliest stage that fails its gate question, because fixing a later stage leaks. Fix one stage fully, then the next. Resist building nurture emails while first replies still go out two days late.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts. For sales work it is mostly our time, with production only where scripts, decks or CRM setup need it.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time and follow-up are the quickest to show, because the enquiries already exist. Process, CRM and training changes show as the team uses them. Each one is tracked against the baseline.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
To start, last month's enquiries in any format and time with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
