CRM, lead flow and sales techniques · Content as a sales tool

If a rep cannot find the right file in a minute, you do not have a library.

A sales library is one indexed place where every brochure, price sheet, case study and video your reps send is kept, named and dated. A gap map lists which buyer questions have no asset yet. This page covers the one-minute test, the library index and the gap map.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

In one paragraph

A sales library is one indexed place where every brochure, price sheet, case study and video your reps send is kept, named and dated. A gap map lists which buyer questions have no asset yet. This page covers the one-minute test, the library index and the gap map.

A rep at a packaging manufacturer in Peenya gets a call from a pharma buyer asking about tamper-evident closures. The rep scrolls WhatsApp, finds a brochure from 2022, and sends it. The buyer asks about the newer variant. Somebody in the office has the updated deck, but it is on a laptop that is at the printer's.

The library problem is not storage. It is that nobody can say which version is current, where it lives or whether a file exists at all for the question in front of them. Reps then ask the owner or marketing to forward things, and the buyer waits.

The sales head runs the audit and owns the index. Whoever handles marketing keeps it up to date. It replaces the memory of the two longest-serving people in the office.

The pre-meeting pack page covers one bundle sent to one prospect. This page sits behind it, as the shelf the pack is made from, and sets out what is missing from the shelf.

If you want this done for you

A new rep still hunts for material a manager should have handed over on day one.

The work

What this is actually like.

  • “Time the rep, not the folder”

Folder structures look tidy and fail in a live conversation. Give a rep a realistic question, start a stopwatch, and see how long it takes to produce the right file. Anything over a minute is a fail, whatever the folder looks like.

  • “Three versions of the price list is the normal state”

Reps keep their own copy because the shared one is out of date. The fix is one named current file and a rule that older ones are deleted from the shared place on the day the new one goes live.

  • “Gaps are visible only when you list buyer questions first”

Do not start from the files you have. Start from the ten questions buyers ask, then see which have an asset. The empty rows are the gap map, and they turn out to be questions about price, delivery time and what happens if something goes wrong.

  • “Short formats beat long ones on a phone”

Most of what your rep sends is opened on a phone in a car or a shop. A fifty-slide deck loses to a one-page PDF or a WhatsApp catalogue entry. Check each asset on your own phone before you index it.

What we do

What you end up with.

The documents this topic produces, what each one is for, and how you know it is finished.

  1. The scenario list

Five to ten buyer questions or objections written as short role-play lines, such as: they ask whether you can deliver to Hosur, or they want to know what warranty covers. Ask the sales head to write them from real calls.

Result: Finished when each scenario is a sentence a rep would recognise from last week.

  2. The stopwatch sheet

Rows for each rep and scenario, columns for time taken, asset found, right version yes or no. Run it as a game in a team meeting, not as a test.

Result: Finished when every rep has been timed on at least three scenarios.

  3. The library index

One sheet: asset name, what question it answers, persona, stage, format, owner, date last checked, link. Sort it by question so reps search the way buyers ask.

Result: Finished when a new rep can find any asset by question without help.

  4. The gap map

A grid of buyer questions against the assets that answer them. Empty cells get an owner and a date. Mark the gaps by buyer role so you do not make a case study for the wrong person.

Result: Finished when each gap has a name beside it and a date you will check it.

  5. The retire rule

One written line saying how an old file is withdrawn: moved to an archive folder, removed from the WhatsApp catalogue, and the index row struck out.

Result: Finished when nobody can open an old price list from the shared folder.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Where should the library live?
Wherever your reps already look. For a small team that is a shared drive folder plus a WhatsApp catalogue or starred messages group. A purpose-built tool is not needed until the folder has outgrown a single index sheet.
Who maintains it?
One named person, not the whole team. In a small company that is whoever handles marketing or the owner's assistant. Everyone else reports gaps and outdated files to that person.
How often should we run the stopwatch test?
Each quarter is a sensible routine for a team of any size. Run it earlier if you launch a new product or change prices, since those are the moments the library goes stale.
Is this worth doing with three reps?
Yes, if they ever send brochures from their own phones. With one rep and a fixed catalogue, a single index sheet is enough and the stopwatch test can be skipped.
What about content marketing produces for the website?
List it in the same index if reps send it to buyers. A blog post that answers a common objection is a sales asset the day a rep sends the link.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts. For sales work it is mostly our time, with production only where scripts, decks or CRM setup need it.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time and follow-up are the quickest to show, because the enquiries already exist. Process, CRM and training changes show as the team uses them. Each one is tracked against the baseline.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
To start, last month's enquiries in any format and time with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM.
