Chartered accountants and accounting firms · Email marketing

Write to your own clients before the deadline, not after they have missed it.

Email for a practice is mostly writing to people who are already clients, reminding them what is due and telling them what changed. GullySales builds the list from your own billing records, writes the deadline reminders and the budget note, and keeps consent and unsubscribes handled properly.

A post room: a wall rack of pigeonholes with sorted letters and strapped bundles, a loaded mail trolley wheeled up in front of it, and on the bench a franking machine with one envelope under the press arm, franked and cleared

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For chartered accountants and accounting firms

Where it usually goes wrong, and what we would do.

  • Your list is the client register

A practice never needs to buy a list. The names sit in the billing software, and each one has a filing due on a known date.

  • The reminder is the relationship

A client who gets a note three weeks before the advance tax date stops feeling like a file somebody opens in July.

  • October is when a filing client becomes a retainer

The owner who came for one return in July is the easiest retainer conversation of the year. Almost nobody makes it.

What we do

What we deliver for chartered accountants and accounting firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A clean list built from your billing records

Clients pulled out of the accounting software, deduplicated, sorted into salaried, business, company and NRI, with consent recorded and a working unsubscribe on every mail.

Result: You are writing to your own clients, lawfully.

  2. Deadline reminders written once and reused each year

Advance tax, GST returns, the July date, the tax audit date and the ROC filings, drafted per client type with the papers you need from them listed in the mail.

Result: Fewer clients send documents on the last evening.

  3. A budget and amendment note for existing clients

A short mail after the budget and after any significant notification, saying what changed for that group and what they should do about it.

Result: Clients hear it from you before they hear it in a WhatsApp group.

  4. The October retainer conversation, written down

A mail to business clients who came only for a return, setting out what monthly accounting or a GST retainer covers and what it costs to leave the books until March.

Result: One-time filings turn into year-round work.

  5. A quarterly note to the bankers and lawyers who refer

A short factual update for referral sources on the assignments the firm handles, sent four times a year and rewritten whenever a branch manager changes.

Result: A new branch manager learns the firm's name without a cold call.

  6. Reporting on who opened and who replied

Opens, replies and the enquiries that followed each mail, reported monthly against the baseline and split by client group.

Result: You find out which group of clients reads you.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, then reported every month against it.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first monthly report.

No open-ended retainer. Each step has a point in time and something you receive.

  1. 01 · Day 1

    Free audit call

45 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · Within a few working days

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope and fee come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later month has an honest comparison.

  4. 04 · Month 1

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · Every month

    Report against the baseline

What moved, what did not, and what changes next, in plain words.

  6. 06 · Month 3 to 6

    Renew on the numbers

The term ends and you decide whether to continue from the results. No twelve-month lock.

How the work runs for chartered accountants and accounting firms

  1. 1

    Assess

We look at where your clients come from, which services and client types you want more of, and what the institutes allow for your firm.

  2. 2

    Fix the proposal step

Engagement templates and a follow-up rule, so every serious enquiry gets a clear scope within days.

  3. 3

    Build the presence

A website organised by client type and service, consistent directory details and partner profiles, all within ICAI and ICSI guidance.

  4. 4

    Share knowledge

Articles, updates and talks under the partners' names, placed where bankers, founders and business owners read them.

  5. 5

    Grow the retainer book

Season-end conversion, cross-service reviews and referral relationships maintained through staff changes.

Proof

What happened when owners fixed this.

Real clients, the work we did, and the result as it was recorded. Where no number was recorded, none is claimed.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every monthly report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No lock-in, no guarantees we cannot keep

Three to six months at a time. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Is emailing our own clients advertising?
Writing to an existing client about his own compliance is service, not solicitation. The line gets closer when you mail people who never engaged you, so check the current ICAI position before any list goes beyond your own clients.
How often should we write?
Four or five times a year, plus the deadline reminders that apply to each client. A firm that mails monthly with nothing to say gets filed under promotions, and then the July reminder lands there too.
Can a chartered accountant advertise?
Only within the ICAI code of ethics, which restricts advertising and solicitation by members in practice. Websites and directory listings are allowed within the Institute's guidelines, and so is sharing knowledge through articles and talks. We check the current guidelines with you before anything is published and avoid claims of superiority, fee advertising and testimonials.
Can we run Google Ads for our firm?
We treat paid advertising as something to clear against the current ICAI guidance first, and for most firms we do not start there. A clear website, correct profiles and knowledge content usually bring enough of the right enquiries without that question.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
Three to six months at a time. There is no twelve-month lock, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile usually show in weeks, because the enquiries already exist. Ads show in days once follow-up is ready. SEO and content take months. The audit tells you which applies to you.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 45 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the monthly review.
What if we are not happy with the work?
Tell us and the plan changes. Every month is reported against the baseline, so a number that is not moving is visible to both sides. Terms run three to six months at a time, and the refund and cancellation policy sets out the rest.
