Day care centres · Customer retention

Keep the child who joined at ten months all the way to the pre-school room.

Retention for a day care centre is the child who moves from the infant room to the toddler room instead of leaving, and the younger sibling who follows two years later. Families slip away at the academic year change and nobody hears why. GullySales puts the age transition and the renewal into the calendar.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What customer retention means

Customer retention is keeping an existing customer buying again rather than losing them to a competitor after the first purchase, usually cheaper than winning a new customer. GullySales sets a routine of check-ins and renewal reminders aimed at customers before they show signs of leaving.

For day care centres

Where it usually goes wrong, and what we would do.

  • “Moving up an age group is a fresh decision, not an automatic step”

The reason a mother chose you was the infant ratio. Once her child turns two that reason has expired, and she starts comparing you with pre-schools. Show her the toddler room, the curriculum and the new routine before she thinks to ask.

  • “The sibling is the cheapest admission you will ever get”

A family already at your gate every morning enrols a second child with no search, no visit and no shortlist. The conversation belongs in the last months of the mother's maternity leave, not after she has gone back to work and sorted something out.

  • “A stamp card is the wrong scheme here; the pickup handover is the right one”

Parents do not collect loyalty points on childcare. What holds a family is thirty seconds at pickup that names what the child ate, who they played with and whether they slept. Treat that handover as the retention programme, because it is the only one that works.

What we do

What we deliver for day care centres.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. An age-transition conversation before the child outgrows the room

A scheduled conversation and a short written note on the next room, its routine and its ratio, given to the parent ahead of the move.

Result: The family moves up instead of going out to look at pre-schools.

  2. A sibling conversation timed to maternity leave

A record of which enrolled families have a new baby coming, and a direct ask about the infant seat while the mother is still planning her return.

Result: The second child is booked before the family arranges something else.

  3. A re-enrolment reminder ahead of the academic year change

A reconfirmation conversation with every enrolled family before the year turns over, rather than assuming a seat is held.

Result: Families reconfirm with you before they start comparing again.

  4. A handover routine every caregiver follows

Three things the caregiver tells the parent at pickup: food, sleep and one specific thing the child did. Written into the shift routine so it survives a staff change.

Result: A parent leaves the gate each evening knowing their child was noticed.

  5. An exit reason captured from every family that leaves

A short phone conversation after notice is given, when nothing is at stake and the parent will tell you the truth.

Result: You learn whether you are losing families to distance, fees or one incident.

  6. A view of who is due to move up or move on

A simple list by age and enrolment date showing which children reach a transition next, and which families are approaching the year change.

Result: Nobody leaves because a date went unnoticed.

How the result is measured

  • Retention rate
  • Repeat purchase rate
  • Customers won back

Recorded as a baseline before work starts, so every later report has an honest comparison.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Each step has a point in time and something you receive.

  1. 01 · Day 1

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later month has an honest comparison.

  4. 04 · Month 1

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. 06 · At the end of the term

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for day care centres

  1. 1

    Assess

We look at how your centre appears when a parent searches nearby, and how fast trial-day enquiries are answered on phone and WhatsApp. We also check where enquiries are being lost between the first message and the signed admission.

  2. 2

Fix the profile and the reply

Google Business Profile completed with real photographs of the rooms and staff. A WhatsApp and call reply routine that never leaves a parent waiting overnight, plus a record of every enquiry.

  3. 3

Show the safety proof parents are looking for

Staff verification, CCTV access, the child-to-caregiver ratio and the meal and nap schedule written out clearly. These are the details that move a nervous parent to book a trial day.

  4. 4

    Bring enquiries in

Local search, reviews from real parents, corporate outreach for employee childcare tie-ups, and advertising timed to the April and June admission season.

  5. 5

    Keep families enrolled

A renewal reminder before the academic year changes, and a referral ask to parents already settled in. A follow-up process the front desk actually runs for every trial day that has not converted.

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

  • A baseline before anything starts

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Is a loyalty discount worth running for a day care centre?
Rarely. A blanket fee discount cuts your margin on the families who were staying anyway. A second-child concession is different, because it wins an admission you would otherwise not have had at all.
How do we find out why a family actually left?
Call once the notice is already given. Parents are honest at that point because nothing is at stake, and the answer is usually a job change, a house move, or one incident at pickup that nobody escalated to you.
How is marketing for a day care centre different from other local businesses?
The page has to prove safety before it tries to persuade. A parent is choosing who holds their child all day, so price comes after trust. That means real photographs of the rooms, the caregiver ratio and staff verification stated plainly, and reviews from named parents.
Do we need advertising or SEO first?
Most centres need a complete Google Business Profile and a fast WhatsApp reply first, because the night-time searches are already happening. Advertising helps around the April and June admission season, when many parents are deciding at once.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile usually show in weeks, because the enquiries already exist. Ads show in days once follow-up is ready. SEO and content take months. The audit tells you which applies to you.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
