Day care centres · Follow up systems

Call the family who visited on Saturday before they enrol somewhere else.

Follow-up for a day care centre is what happens after the trial visit, when the parent says they will discuss it at home and then goes quiet. Most centres never call back. GullySales writes the reminder that gets the visit attended, the call that follows it, and the point at which you stop.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

A pneumatic tube station on a panelled department-store wall: five brass tubes dropping from the ceiling to their hinged terminals, a wire basket slung under one of them with a carrier capsule just landed in it and the flap still open, a rack of spare capsules, a call bell on a bracket, a pressure gauge and a plain clock with no numerals

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For day care centres

Where it usually goes wrong, and what we would do.

  • “The reminder the evening before the visit”

A trial slot booked last week is easily forgotten by a mother juggling office and a child with a cold. A short message the previous evening confirming the time and naming who will meet them at the door turns a booking into an attendance.

  • “A parent deciding in January for a June start”

A no in January is frequently a yes in June. Set the next contact from the month the child actually needs care, not from the day the enquiry arrived, or you write off a family months before they were ready to decide.

  • “The partner who was not at the visit”

One parent walks the infant room and the other decides from a photograph and a two-minute summary at dinner. Your message after the visit is really written for the person who was not there, so it has to survive being forwarded without you in the room.

What we do

What we deliver for day care centres.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A visit reminder sent the evening before

A short confirmation naming the slot, the door to use and the staff member who will meet the parent, sent the night before the trial day.

Result: Fewer booked visits quietly turn into nobody arriving.

  2. A written order of contact after the visit

What is sent the same evening, what is said on the call that follows, and what the last message says. Written down so the front desk does not improvise.

Result: Every family that visited hears from you the same way.

  3. Follow-up dated to the start month

A next-contact date set from the month the parent said they need care, so a January enquiry for a June seat is picked up again in April rather than dropped.

Result: Early enquiries come back instead of going to whoever called them in May.

  4. A stop rule, agreed and written

The number of contacts after which the family is marked closed with a reason. A centre that chases a parent every week reads as short of children.

Result: Your staff know when to stop, and so does the record.

  5. A chase for the corporate childcare enquiry

A separate sequence for an HR contact who asked about an employee tie-up and went quiet, because that conversation restarts on the office's budget calendar, not the parent's.

Result: The office enquiry is picked up again rather than forgotten.

  6. A reason recorded for every family that said no

Fee, distance, timings or a seat elsewhere, captured in one field at the point the family closes the conversation.

Result: You can see whether you are losing visits on price or on the infant room.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Each step has a point in time and something you receive.

  1. 01 · Day 1

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later month has an honest comparison.

  4. 04 · Month 1

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. 06 · At the end of the term

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for day care centres

  1. 1

    Assess

We look at how your centre appears when a parent searches nearby, and how fast trial-day enquiries are answered on phone and WhatsApp. We also check where enquiries are being lost between the first message and the signed admission.

  2. 2

Fix the profile and the reply

Google Business Profile completed with real photographs of the rooms and staff. A WhatsApp and call reply routine that never leaves a parent waiting overnight, plus a record of every enquiry.

  3. 3

Show the safety proof parents are looking for

Staff verification, CCTV access, the child-to-caregiver ratio and the meal and nap schedule written out clearly. These are the details that move a nervous parent to book a trial day.

  4. 4

    Bring enquiries in

Local search, reviews from real parents, corporate outreach for employee childcare tie-ups, and advertising timed to the April and June admission season.

  5. 5

    Keep families enrolled

A renewal reminder before the academic year changes, and a referral ask to parents already settled in. A follow-up process the front desk actually runs for every trial day that has not converted.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many times should we follow up after a trial visit?
Three contacts, then a pause, then one message timed to the month the parent named. A parent chased weekly starts to wonder why your seats are so easy to get.
The parent says they are still deciding. What do we actually say next?
Ask what is still open. It is usually the fee, the pickup timing, or a partner who has not seen the place, and each of those needs a different answer. A message that says only that you are following up gets no reply.
How is marketing for a day care centre different from other local businesses?
The page has to prove safety before it tries to persuade. A parent is choosing who holds their child all day, so price comes after trust. That means real photographs of the rooms, the caregiver ratio and staff verification stated plainly, and reviews from named parents.
Do we need advertising or SEO first?
Most centres need a complete Google Business Profile and a fast WhatsApp reply first, because the night-time searches are already happening. Advertising helps around the April and June admission season, when many parents are deciding at once.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile usually show in weeks, because the enquiries already exist. Ads show in days once follow-up is ready. SEO and content take months. The audit tells you which applies to you.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
