Day care centres · Referral marketing

Your strongest admission channel is two mothers talking at the gate.

Referral marketing for a day care centre is making it easy for a settled parent to recommend you in the apartment WhatsApp group or at the school gate. It happens anyway. Most centres never ask for it and cannot say which family sent whom. GullySales writes the ask, picks the moment and keeps the record.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

A back alley between two brick yard walls with washing lines strung across it: sheets pegged out on the near line, the newest still swinging on one differently coloured peg, the next line along completely empty, a prop pole holding the line up and the back gate standing ajar

What referral marketing means

Referral marketing is asking an existing customer to recommend you to someone they know, usually with a reward for both sides. It differs from a loyalty scheme because it brings in a new customer rather than a repeat purchase. GullySales builds the ask and the reward into a point where a customer is already satisfied.

For day care centres

Where it usually goes wrong, and what we would do.

  • “The apartment group is where the recommendation actually lands”

A mother posts asking for a creche near her block and gets five replies inside ten minutes. The first name mentioned usually gets the first call. What you need is a settled parent with your message already saved on her phone, not a flyer on the notice board.

  • “Paying a parent changes how the recommendation sounds”

A parent on a commission starts to sound like a salesperson, and the trust that made the referral worth anything is gone. A concession on the referred child's admission fee reads differently and is easier for the referring mother to mention out loud.

  • “The paediatrician and the feeder pre-school are referral sources too”

A paediatrician two lanes away is asked about childcare all week. So is the pre-school your older children move on to. Neither will name a centre they have never walked through, so the introduction has to start with a visit.

What we do

What we deliver for day care centres.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A message a parent can paste straight into her group

Two or three lines with the centre name, the age groups and a link, written the way a parent would write it, not the way a brochure would.

Result: A willing parent recommends you without having to compose anything.

  2. The ask tied to the moment the child settles

A fixed point in the settling-in routine at which the centre head asks the parent directly whether she knows anyone looking.

Result: The ask happens when the parent feels best about you.

  3. A referral record that names who sent whom

One field on the enquiry record for the referring family, so credit and thanks reach the right person and you can see which parents keep sending people.

Result: You know who your advocates are instead of guessing.

  4. A thank-you that is not cash

A concession on the referred child's admission fee, or a small gift for the referring family, chosen so the recommendation still sounds honest.

Result: The referring parent is recognised without being turned into an agent.

  5. Introductions to paediatricians and feeder pre-schools

A shortlist of nearby clinics and pre-schools, a visit arranged, and a one-page note on your age groups and current vacancies left behind.

Result: The people parents already ask have something specific to say about you.

How the result is measured

  • Referrals received
  • Referral conversion rate
  • Cost per referred customer

Recorded as a baseline before work starts, so every later report has an honest comparison.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Each step has a point in time and something you receive.

  1. 01 · Day 1

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later month has an honest comparison.

  4. 04 · Month 1

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. 06 · At the end of the term

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for day care centres

  1. 1

    Assess

We look at how your centre appears when a parent searches nearby, and how fast trial-day enquiries are answered on phone and WhatsApp. We also check where enquiries are being lost between the first message and the signed admission.

  2. 2

Fix the profile and the reply

Google Business Profile completed with real photographs of the rooms and staff. A WhatsApp and call reply routine that never leaves a parent waiting overnight, plus a record of every enquiry.

  3. 3

Show the safety proof parents are looking for

Staff verification, CCTV access, the child-to-caregiver ratio and the meal and nap schedule written out clearly. These are the details that move a nervous parent to book a trial day.

  4. 4

    Bring enquiries in

Local search, reviews from real parents, corporate outreach for employee childcare tie-ups, and advertising timed to the April and June admission season.

  5. 5

    Keep families enrolled

A renewal reminder before the academic year changes, and a referral ask to parents already settled in. A follow-up process the front desk actually runs for every trial day that has not converted.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Should we pay parents a commission for referrals?
We would advise against it. A concession on the referred child's fee, or a small gift, keeps the recommendation honest. A parent who suspects a commission behind the advice stops taking the advice.
When is the right time to ask a parent to refer us?
Once the child has settled and the mother has stopped worrying at drop-off. Asking during the settling week lands on the most stressful fortnight of her year and gets a polite no.
How is marketing for a day care centre different from other local businesses?
The page has to prove safety before it tries to persuade. A parent is choosing who holds their child all day, so price comes after trust. That means real photographs of the rooms, the caregiver ratio and staff verification stated plainly, and reviews from named parents.
Do we need advertising or SEO first?
Most centres need a complete Google Business Profile and a fast WhatsApp reply first, because the night-time searches are already happening. Advertising helps around the April and June admission season, when many parents are deciding at once.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile usually show in weeks, because the enquiries already exist. Ads show in days once follow-up is ready. SEO and content take months. The audit tells you which applies to you.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
