Diagnostic centres · Follow up systems

Call back the patient whose doctor wants the scan repeated, before another centre does.

Follow-up for a diagnostic centre is what happens after the first contact: the caller who asked an MRI price and never booked, the patient whose doctor wants a test repeated, the HR manager sitting on a camp quote. GullySales sets who calls whom, on which channel, with what words, and what gets written down.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For diagnostic centres

Where it usually goes wrong, and what we would do.

  • “Price callers are thanked and forgotten”

A person ringing to ask what a CT costs has a prescription in hand. If nobody takes a name and number on that call, there is nobody to call back when they hesitate.

  • “Repeat tests are left to the patient's memory”

A diabetic due for HbA1c, or a thyroid nodule to be rescanned, goes wherever is convenient on the day. A reminder backed by the doctor's instruction keeps them with the centre that holds the old report.

  • “Corporate quotes die between HR and finance”

The HR manager liked the camp proposal, then finance wanted a different format. With nobody named to follow it, the quote lapses and the office books whoever rang last.

What we do

What we deliver for diagnostic centres.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A call-back list for price enquiries

Every caller who asked about a scan or package logged with name, number, the test and why they did not book, then called back by the desk.

Result: Price questions get a second conversation.

  2. Recall lists built from the doctor's advice

Patients whose referring doctor asked for a repeat test, listed with the due date and their consent to a reminder.

Result: The repeat test is done where the first one was.

  3. Wording for each kind of follow-up

Short scripts for a hesitant MRI caller, a family comparing packages, a missed scan appointment and a corporate quote gone quiet.

Result: Whoever picks up the phone says the right thing.

  4. A corporate proposal tracker

Each camp or annual employee check-up quote recorded with the HR contact, the finance contact, the next step and its date.

Result: No corporate quote lapses unnoticed.

  5. A reason recorded for every no

A short list of reasons, such as price, distance, insurer not accepted or the doctor's choice, picked for every lost enquiry.

Result: You learn which refusals can be fixed.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for this trade

What the desk does next for each diagnostic enquiry that has not become a booking.

Asked the MRI or CT price, did not book
The imaging desk calls back the same day, asks whether the doctor's slip is ready and offers two slots. Record the scan, the reason for waiting and the next call date.
Family asked about a package, no booking
Send the package's test list and the home collection option on WhatsApp, then call to ask who it is for. Note whether it is for a parent and when they want it done.
Booked a scan, did not turn up
Call to ask whether the scan is still needed and offer another slot. If they went elsewhere, note where and why in a word.
Doctor advised a repeat test
With consent, remind the patient near the date the doctor gave, and mention the earlier report is on file for comparison. Record whether they rebooked.
Corporate camp quote sent
The person who sent it calls the HR contact to ask what is pending and who else must approve. Record the approver and the date of the next step.
Check-up done a year ago
Send a plain reminder naming the same package and offering home collection. Stop if the patient says no, and record that they did.

Who it is for

This is written for these diagnostic centres.

  • Standalone diagnostic centres with pathology and imaging
  • Diagnostic centres inside or beside a hospital
  • Multi-branch diagnostic chains
  • Diagnostic centres that run corporate camps
  • Centres with a strong health check-up business
  • Centres serving senior citizens and families

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for diagnostic centres

  1. 1

Listen to how a patient moves between departments

The free audit call traces where enquiries come from, who answers them and what a single-test caller hears about everything else.

  2. 2

Join the departments at the front door

One enquiry route, one sheet and a log that shows which package or test was asked about.

  3. 3

    Make the packages findable

A page for each package, a Business Profile that shows the range and reviews asked for after a smooth visit.

  4. 4

Reach clinics and corporates with one offer

A sheet for referrers and a single proposal for corporates.

  5. 5

    Report on packages, not activity

A report on enquiries, packages sold and returning patients, against the baseline taken before anything changed.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Will patients find follow-up calls about tests intrusive?
Not if each call carries something they need: a slot for the scan their doctor asked for, the fasting instructions, a report waiting to be collected. Calls that only push a package are the ones that annoy. Make a couple of calls with a reason, then stop.
Who should own follow-up when pathology and imaging have separate desks?
One person at the front desk owns the list, and each department answers the calls about its own tests. Without a single owner, a family asking about a package and a scan together is followed up by nobody, because each desk assumes the other has it.
When should we stop calling someone who asked about a scan?
When they say they have had it done, when they ask you to stop, or after a few calls with no reply. Record which of those it was. A list of people who had the scan elsewhere tells you more about your price and slots than any survey.
What do we say to a patient who found the scan too expensive?
Write down the price they were comparing with and where it came from. If it was an app or a camp, explain once what differs, such as the machine or the radiologist reporting it. Avoid cutting the price on the phone, which teaches every caller to bargain.
Why not market each department on its own?
Because the patient sees one centre. A single answer at the front door and a package that spans departments sell more than three separate pitches, and are easier to refer to.
Can we discount packages?
Packages are priced in the market and a clear price helps families compare. Inducements and discounts on health services may be restricted, and the position differs by state and changes. Your adviser should confirm anything promotional.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
