What to record for every energy audit enquiry, and why each field earns its place.

Plant or building, DISCOM and tariff category
Record these at the first call. They tell the auditor which tariff order applies and whether the enquiry fits your region and your sectors.
The trigger and its date
Write down what started the enquiry: a penalty line, a tariff revision, a mandated audit, a lender or a customer. A date attached to the trigger shows how urgent it is.
Decision-maker and who signs
Record the person who called, the person who approves spending, and anyone else who reads the proposal. Update it whenever one of them changes.
Recommendations and their status

Spreadsheet or CRM for a small audit firm?
A sheet works while one person handles every live enquiry and the fields above are filled in. Once two people share accounts, or reports and recommendations need tracking, a CRM prevents the duplicates and missed follow-ups a sheet allows.
Our auditors will not update it. What then?
Make it short and useful to them. Give each auditor a view of only their own accounts and open actions, ask for six fields at the end of a visit, and have the manager read the record in the review. A record nobody reads goes stale.
A lot of our dealings are on WhatsApp. How do we keep them?
Copy the key lines into the record the same day and save attachments against the account. Chats stay as backup, but the CRM holds the dates, the decisions and who said what, because a chat on one phone goes when the phone does.
If we switch CRM or agency, whose data is it?
You do. The CRM account should be in your company's name with an owner you control, and you should be able to export every record at any time. Ask for that in writing before any data is loaded.
Should we offer a free audit to win the work?

Can we describe ourselves as BEE accredited?
