Chiropractic clinics · Email marketing

Keep the condition out of the subject line.

Email marketing for a chiropractic clinic runs on the list already inside your practice software, not on a bought one. GullySales splits it by why each patient stopped, checks who agreed to be messaged, and writes the messages each group will open.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For chiropractic clinics

Where it usually goes wrong, and what we would do.

  • “The subject line cannot name the condition”

A phone lying on a kitchen table shows the preview to whoever walks past. Nothing about treatment belongs in it.

  • “The list is split by why they stopped, not by when”

Somebody who finished a plan, somebody who left after two visits and somebody who moved away need three different messages.

  • “The acute patient answers WhatsApp and ignores email”

Which only works if they agreed to be messaged there, so consent gets checked before anything goes out.

What we do

What we deliver for chiropractic clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. The list pulled and sorted from your own system

Exported from your appointment software or register, cleaned up, and grouped by last visit and by why care ended.

Result: You can see the size of what you already have.

  2. A consent check before WhatsApp or email goes anywhere

Who agreed to WhatsApp messages, who agreed only to email, and whether your WhatsApp Business number is set up for it.

Result: Nothing goes to somebody who never agreed.

  3. A welcome sequence after the report of findings

Two or three messages explaining the plan, what to expect between visits and when to ring, sent over the first fortnight.

Result: Fewer patients quit in the first month.

  4. A lapsed patient sequence written by reason

Different wording for a finished plan, an abandoned one and a patient who moved house, sent in dated rounds rather than all at once.

Result: The old list starts producing appointments.

  5. A seasonal re-examination note

A yearly check-in tied to something real, such as the start of a sports season or the month somebody last hurt their back.

Result: Patients come back before the next flare-up.

  6. Subject line rules that protect privacy

A written rule keeping conditions, treatments and appointment details out of subject lines and preview text.

Result: Nothing awkward appears on a locked screen.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What a chiropractic clinic needs in place before it emails its patient list.

Consent on the intake form
Ask on the intake form whether the patient agrees to reminders and clinic news by email, and record the answer in the practice software. Patients who left it blank are not on the marketing list.
A reason recorded for each patient who stopped
Note whether they finished the plan, stopped due to cost, moved or never returned. A note to someone who stopped over cost differs from one to someone who moved city.
Clinical detail kept out of the mailing tool
Diagnoses, imaging, notes and exercise sheets stay in the practice software. The mailing tool holds a name, an address and a stage, not a record of someone's back.
An advertising-rules check
Rules on how health practitioners may advertise differ by state, profession and body, and they change. Check each campaign with your own association or adviser, and make no promise of relief or cure.
A slot ready for anyone who replies
Before a reminder goes out, check that the front desk has a free slot and knows the next step. A patient who replies to a reminder and hears nothing will not try again.
A front desk that reads replies
Name the person who reads replies and the person who covers when they are away. An unsubscribe link at the foot of each note is not optional.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the email marketing work runs

  1. 1

    Understand your list

We review who is on the list, how they got there, and how long it has been since they last heard from you.

  2. 2

    Audit past sends

We check open and click rates from past emails to see what has and has not worked.

  3. 3

    Segment and plan

The list is split into meaningful groups and a sending calendar is agreed.

  4. 4

    Implement content and automation

Emails are written, scheduled and, where useful, set to trigger automatically based on behaviour.

  5. 5

    Measure and optimise

We track performance and adjust subject lines, timing and content based on what the list responds to.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we WhatsApp our patient list?
Only the part that agreed, and only from the clinic's own WhatsApp Business number. Most lists are a mixture, so they have to be split before anything is sent. Messaging people who never agreed costs you their trust.
We have no news. What is there to write about?
Whatever a patient asked at the desk last week, and the doctor's answer to it. Two paragraphs is plenty. A newsletter about posture gets deleted unopened by the second issue.
Should exercise sheets and home-care advice go by email?
Only to the patient who was given them, from the clinic's own address and not through a campaign tool. They are part of the patient's record. Keep a copy in the file and ask the patient whether email is how they want to receive it.
Can we email the doctor or physiotherapist who refers patients to us?
Yes, as a separate list of referrers. Send a short note on what you treat and how a referral reaches you. Do not share any patient's detail without that patient's written consent, even to say thank you.
Is a chiropractor allowed to advertise like this?
Health advertising is restricted, and the rules differ by council and change over time, so check your own council's current advertising rules before anything runs. We keep cure and guarantee language out, write to what your records support, and send anything doubtful to your own adviser first.
Can we reply to a Google review from a patient?
Yes, but never by confirming they were treated here. A public reply that acknowledges someone's visit gives away their privacy. We write replies that give a phone number and a name, and say nothing about a visit, a condition or a date.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
