Psychotherapy practices · Customer retention

Finishing the work matters more than filling next week's diary.

Retention in a psychotherapy practice is not a commercial target. It is making sure nobody stops because rebooking was awkward, the fee was unclear or the practice was hard to find again years later. GullySales fixes those obstacles and leaves the clinical judgement where it belongs.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What customer retention means

Customer retention is keeping an existing customer buying again rather than losing them to a competitor after the first purchase, usually cheaper than winning a new customer. GullySales sets a routine of check-ins and renewal reminders aimed at customers before they show signs of leaving.

For psychotherapy practices

Where it usually goes wrong, and what we would do.

  • “Dropping out is not churn, and treating it as churn damages the work”

Somebody who stops after three sessions may be avoiding something difficult, or may simply have decided you are not the right fit. Both are clinical questions. The only part that is yours to fix is making sure the reason was never an administrative one.

  • “The next appointment is agreed in the room, not from home on a bad day”

A person who leaves without a date has to make the decision all over again, alone, at the point they feel worst. Fixing the next session before they stand up removes that entirely.

  • “People come back years later, to a name they half remember”

After a bereavement, a move or a new child, somebody searches for the therapist they saw once. A practice whose listing, number and page have stayed steady is findable. One that changed everything is not.

What we do

What we deliver for psychotherapy practices.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. The next session booked before the current one ends

A simple routine that fixes the date in the room, with a way to change it later that does not require a phone call.

Result: Nobody drifts away because rebooking felt like an effort.

  2. Fees and the cancellation position written down

What a session costs, what happens if it is missed and how payment works, given in writing at the start rather than raised awkwardly later.

Result: Money never becomes the unspoken reason somebody stops.

  3. A returning client route that is easy to find

A steady listing, a number that does not change and a page that says how to come back, for somebody returning after years away.

Result: A former client can find you without searching hard.

  4. Aggregate attendance patterns, never individual tracking

Session counts and drop-off points reported as totals across the practice, with no individual client followed.

Result: You can see a pattern without watching a person.

  5. A waitlist that is handled honestly

A clear position on how long a wait is, when it is reviewed and when somebody should be pointed elsewhere.

Result: Nobody is kept waiting on a list that was never going to open.

How the result is measured

  • Retention rate
  • Repeat purchase rate
  • Customers won back

Recorded as a baseline before work starts, so every later report has an honest comparison.

Work it out from your records

What a practice can learn from its own diary without tracking any individual client.

Sessions rebooked before the client leaves
Count how many sessions end with the next date fixed in the room, against those that end with the client saying they will message. Use only the totals. The gap shows whether rebooking is awkward, not who is struggling.
Late cancellations and no-shows
Count the sessions cancelled late or missed, as totals for the practice. If they rise around a particular day or time slot, the slot may be wrong. Never read it as a measure of any one client's commitment.
Enquiries that became a first session
Count first messages received and first sessions held. The difference is where the booking route loses people: a slow reply, an unclear fee or an awkward form. Keep the numbers anonymous.
Clients who finished by agreement
Where your notes record that therapy ended by mutual decision, count those against those who stopped without a conversation. Do not chase the second group. Make the ending conversation easier next time.
Returning clients after a long gap
Count people who came back after a break of a year or more. They tell you that the name, the contact page and the booking route still worked. Make sure the route to return is simple.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the customer retention work runs

  1. 1

    Assess current retention

A first read of current retention rate, existing tactics and where they are or are not coordinated.

  2. 2

    Build the strategy

A written plan developed covering priority segments, touchpoints and a measurable target.

  3. 3

    Align existing tactics

Current retention activities mapped against the strategy and adjusted to work together rather than independently.

  4. 4

    Track toward the target

Retention tracked against the goal, with the strategy adjusted as results come in.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Is it even ethical to work on retention in this field?
It depends entirely on what you are retaining. Keeping somebody in therapy longer than they need it is not something we would help with. Removing the reasons a person stops that have nothing to do with the therapy, an unclear fee, a hard rebooking, a missed reminder, is worth doing.
What should our cancellation policy actually say?
Whatever you will hold to, stated at the start and applied the same way to everybody. The harm is not in charging for a late cancellation. It is in a policy nobody mentioned until it was invoked, which lands on someone already struggling and often ends the work.
Should we send a reminder before every session?
A short reminder of the time and place is practical, as long as the client has agreed to receive it and the wording is neutral. Leave out names of the practice's speciality or any detail that could reveal why they attend.
What do we do when a client stops coming without a word?
Send one brief, kind message that the door is open and how to rebook, then stop. Do not call repeatedly or ask why. Respect their choice, and let your own clinical judgement decide whether a different step is needed.
How do you handle marketing without using client stories?
Through the therapist, not the client. A page that explains your training, your approach and what a first session feels like does the work a testimonial does elsewhere. No identifiable client story is ever used.
Will this involve tracking individual clients?
No. Our reporting works at the level of enquiry volume and concern area, never by name, and we agree what is tracked before starting.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
